This is a new role to manage document control across the Business and enforce standardisation across departments.

Manage internal audits, make sure corrective actions are carried out. Liaise with department managers to determine appropriate control mechanisms/activities that will improve ISO compliance for all 3 standards (and any other future ISO standards). To be involved in the design of Business Systems adopted by the company.

The Compliance Officer reports directly to the Director of Business & Administration on a day-to-day basis. This is a stand-alone role, however there will be close communication and collaboration with Environmental, Health and Safety, Operations, Engineering, HR and other departments across site.

Hours of Work

36.25 hours per week

Flexi-time within the hours of 8am-6pm

MAIN TASKS & RESPONSIBILITIES

Implementation and maintenance of a Company-wide document control process. Oversee the implementation of corrective actions resulting from Audits.

* Review Company documents in use across site and determine the optimal location for them to be held

* Management of existing document holding locations aiming to achieve:

Easy accessibility, Avoidance of duplication, Optimal use of digital space, Users' awareness, GDPR compliance

* Coordinate internal audits; liaise with auditees to implement corrective actions stemming from those audits.

* Undertake process development activities together with department managers

* Assist with external audits

* Be involved in the design of business systems that reconcile and reinforce ISO standard principles

* Attend the quarterly business systems meeting

* Implementation of a document register by Q2 2019, with ongoing management thereafter

* Ensure all registers and reports are up to date

* Ensure regular and close interaction with all relevant stakeholders

* Completion of relevant auditing training

* Contribution and reporting activities within meetings

Documentation Requirements

* Create a Document Control Manual, which will also serve for training purposes and will go into our ISO 9001

* Prepare reports on Internal Audit CA implementation, as above

* Maintain all necessary communication with the relevant regulatory bodies

* Complete audit reports on best practice, highlighting deficiencies and improvement plans

General Duties & Responsibilities

* Assisting Management in developing a culture of compliance awareness and adherence across site

* Ad hoc assignments by Director of Business & Administration

PERSON SPECIFICATION

Qualifications

Essential to the role: Experience in a Compliance Officer/Document Controller role. Excellent MS Office skills including Word, Excel, Outlook and PowerPoint. Work experience within an Operational, Manufacturing or Engineering environment. A thorough and detail oriented individual who understands the importance of accuracy

Desirable: Experience in a 'continual improvement' environment and the desire to use this knowledge within the department. Internal auditing experience. A Business Systems or other relevant administration qualification
