Receptionist / Business Support Administrator

TWI Middlesbrough

TWI provides competence-based welding and inspection training and qualifications to meet a wide range of industry needs, working with customers worldwide and servicing several sites within the UK and overseas.

This position has been produced as part of an initiative known as Non Destructive Testing Research Centre (NDT Research Centre), which is funded, by the Tees Valley Combined Authority (TVCA). This new research centre will focus on future NDT technologies and act as the future growth hub for the research group outside of TWI facilities in Cambridge. In addition, if TWI bid is successful, this project may also be part funded by the European Regional Development Fund (ERDF).

Main duties and responsibilities will include:

  • Meeting and greeting visitors, contractors and students
  • Updating staff, visitor, contractor and student registers
  • Answering telephone and e-mail enquiries
  • Multi-tasking and prioritising incoming work to meet internal and external customer requirements and working to tight deadlines.
  • Formatting documents and reports to ensure they adhere to TWI’s corporate style.
  • Organising travel arrangements for members of staff.
  • Arranging meeting rooms and Catering bookings
  • Stationary/refreshment orders and stock management
  • Booking international shipments through Head Office
  • Booking taxis for staff, visitors and students
  • Arranging hire cars and looking after the pool car calendar, services and repairs
  • General office administration and additional duties as required.

The requirements for this role include:

  • Proactive with the ability to work on own initiative and as part of a team with little supervision in a very busy environment
  • Excellent organisational skills with the ability to manage and prioritise multiple tasks and work under pressure without the loss of priorities.
  • Thorough understanding of customer service excellence.
  • Experienced in the use of IT systems.
  • Excellent communication skills and telephone manner.

Essential

  • Proficiency in Microsoft Office Outlook, Word, PowerPoint and Excel.

Contract: Permanent

Hours: 36 hours p/wk.
