THE COMPANY:

THE JOB:

Responsibilities:-

* Arranging extensive national and international travel itineraries
* Schedule meetings, screening, redirecting and prioritising incoming post, emails & telephone calls
* Arranging venues and refreshments
* Producing internal and external correspondence/documentation as instructed
* Organising and maintaining diaries and making personal appointments
* Greeting visitors and managing hospitality
* Devising and maintaining office systems, including data management and filing
* Minute taking, recording and monitoring action points.
* Ability to deal with highly sensitive and confidential information
* Provide effective and efficient administrative service
* Organising private functions, parties, dinner reservations, tickets to events
* Providing assistance to adhoc projects
* Liaising with donors, suppliers and other staff
* General administrative duties, filing, photocopying, etc.
* Any other duties as may be reasonably requested by members of the Executive tea

THE PERSON:

* The ability to work with minimum direction, and to respond swiftly to requests
* Excellent verbal, written and interpersonal communication skills
* Able to manage and prioritise multiple tasks
* Able to work well under pressure
* Previous Secretarial / PA/ Executive experience
* Attention to detail
* Extensive knowledge of Microsoft Office including Word, Excel & Outlook
* Strong organisational and time management skills
* Ability to maintain confidentiality at all times
* Experience of minute taking
* Flexible and enthusiastic approach with an ability to use initiative
* Ability to work as part of a team and individually
* Willing to work outside of normal working hours from time to time
