Document Controller
We are seeking to appoint a Document Controller to join an already existing team. If you are a Document Controller that is ambitious and driven to succeed, then keep reading.
This is a unique opportunity to work on one of the largest and most complex construction projects ever undertaken in NI. As Document Controller you will manage all incoming and outgoing documentation in relation to the project. Be responsible for maintaining a set of comprehensive and accurate document records and distribution lists. You will be responsible for checking the compliance of all project documentation against the agreed document management protocols and administrating the programme extranet / document management system.
As the Document Controller you will
* Maintain, control and ensure traceability of all documentation generated or received as part of the Programme, with particular attention to commercial and contractual and communications with third party suppliers, contractors and stakeholders
* Assist in the maintenance of records for all incoming and outgoing project documentation.
* Provide input if required in relation to the preparation / modification of the project Document Management protocol document.
* Once developed, manage all project documentation in accordance with the agreed project protocols providing feedback as and when required regarding their effectiveness
* Familiarisation and compliance with all processes, procedures, policies, project specific Work Terms and regulations pertaining to the Change Control and Document Control functions
* Responsible for the distribution of all key project data and the maintenance of an up to date document distribution list
* Provide regular reports on the volume of documents sent and received including their approval status.
* Ensure comprehensive records are kept of any revisions to project documentation and the correct people are notified of change.
* Ensure both personal and third-party compliance with the agreed document management protocols including the correct referencing of documents and / or drawings.
* Support the Document Management System (DMS) set up and automation through the IT platform e.g. SharePoint etc. and champion ways in which processes could be improved or made more efficient and promote best practice
* Fully support the use of an electronic project extranet system or document management system including uploading / downloading information, rejecting / accepting third party documentation and monitoring the system for updates on a day to day basis.
* Maintain strict data integrity on all change control systems, monitoring data, highlighting areas for improvement, action due dates and anomalies;
* Liaise with the providers of any electronic document management / project extranet system in the event of any technical problems. Should problems occur work the service provider to address any system faults, or the implementation of new settings.
* Drive improvements in respect of Document Management across the project team, striving to increase efficiency
* Assist in the development of solutions that educate and encourage internal and external stakeholders to become more collaborative.
What you need
* A strong understanding of common project processes and procedures including change control, design sanctioning and document approvals
* Prior experience in a Document Management role with electronic project extranet interfaces
* An appreciation for the importance of good programme and project controls and the maintenance of accurate document records.
* Prior experience of administration of a programme or project extranet / document management system
* A good eye for detail
* Good at prioritising work and planning necessary activities in a structured way
* Extremely organised, analytical, and thorough in day to day tasks.
