An International Firm in Guildford is seeking 3 experienced Document Production Secretary's/ Assistants.

This is a typing-based role in the Document Production team, supporting casehandlers and secretaries firm-wide.

Working in an open plan area sitting with the rest of the DP team, the successful candidate will be expected to produce high quality work which is turned around quickly and accurately.

The individual should have good attention to detail and the ability to organise and prioritise their own workload.

They should also be flexible, proactive and a team player.

Duties include:

Document production: Producing documentation and correspondence including reports, letters, emails, memos, attendance notes, faxes, court documents, forms, Laserforms and spreadsheets; copy typing; creating mark ups; proofreading and checking all work produced to ensure it is accurate, consistent, adheres to and meets the firm's standards

Amending documentation: Undertaking amendments, applying formatting and the firm's house styles

Audio transcription: Transcribing digital dictations, ensuring protocols are followed and work is saved into the appropriate folders in the document management system

Pitches and presentations: Producing PowerPoint presentations and pitches, including illustrative graphs, charts, tables

Call handling: Dealing with telephone calls in a prompt and professional manner, taking and passing on clear and concise messages; diverting phones, monitoring voicemails and updating greeting messages when team members are absent

Requirements:

* Fast, accurate typing
* Previous legal/ typist/documen0t production experience
* MS Office skills (Outlook, Word, Excel and PowerPoint)
* Experience of digital dictation
* Attention to detail with a high level of accuracy
* Ability to organise and prioritise own workload to meet agreed deadlines
* Excellent organisational skills
* Excellent communication skills
* High level of initiative and pro-activity
* Ability to be calm and retain a professional attitude under pressure
