HR ADMINISTRATOR - East Croydon - £22-25k - URGENT

WHAT ARE WE LOOKING FOR?
Prior experience of working within a busy Human Resources environment is desirable with the ability to consistently deliver a high level service in a timely manner.

To provide effective administrative support to the HR team, HR administration for Head Office staff and to be
the first point of contact for HR colleagues in each academy on all HR administrative matters.

Main roles and responsibilities

HR Administration for Head Office
o Assisting with the administration associated with the recruitment process for Head Office; arranging
interviews, preparing interview packs, offer letters, reference requests, new starter forms, pre-employment
checks including right to work documentation and Disclosure and Barring Service (DBS)
checks.
o Co-ordinating new starter termly induction sessions, in conjunction with the HR Recruitment
Administrator.
o Producing and updating employee personnel files for Head Office staff (circa 160 staff).
o Liaising with line managers with regards to probationary start and end dates and maintaining the
probation monitoring process for Head Office staff.
o Drafting and issuing letters to employees; resignation acknowledgement, contract extensions,
notification of end of contracts, variation of terms etc.
o Supporting the performance management cycle and associated documentation.
o Responsible for updating and maintaining the employee absence log; sickness absence, annual leave,
maternity leave etc.
o Providing the Executive Team with regular reports; annual leave, sickness absence etc.
o Responsible for maintaining the Head Office organisational charts.
o Responsible for maintaining and updating the Harris Federation Staff Handbook.
o Supporting the administration and inputting of the monthly payroll for Head Office.
o
Supporting HR Team and Strategy
o Creating and maintaining standard letters, reporting templates and guidance documentation. In
conjunction with the HR Business Partners (HRBPs) reviewing and updating in accordance with
legislative changes.
o Responsible for the administration and promotion of the Federation's employee benefits; updating
all communication relating to benefits, producing and updating reports etc.
o Submitting payment forms to external payroll provider ensuring full authorisation is obtained and
accurate internal records are maintained.
o Submitting invoice payments to the Finance team ensuring that prior approval is obtained.
o Organising and administration of training events; Safer Recruitment training, HR network training
events etc.
o Assisting with the Masters programme by providing support to the programme leader, drafting and
issuing letters and liaising with the course provider to resolve any issues/queries.
o Working in partnership with HR Recruitment Administrator on allocated projects.
o Providing administrative support to the Head of HR and HRBPs on a day to day basis, including
support in delegated activities; for example, restructure programmes, employee relations cases,
employment tribunal activities and TUPE.
o Having the ability to cover for both HR Administrator roles as and when required.
To complete Ad hoc tasks as and when required.

HR Support
o To be the first point of contact, alongside the HR Recruitment Administrator, for HR queries and
contract requests, liaising with Academies, internal and external providers and escalating as
appropriate.
o Training and supporting new HR representatives working within Academies.
o Evaluating Job Descriptions using the Greater London Provincial Council Job Evaluation Scheme

Qualifications
? Educated to 'A' Level or above
? May be working towards a CIPD qualification, or similar qualification
Experience
? Robust experience in a busy administrative role
? Experience within an HR department is desirable but not essential
