Executive Assistant to the Registrar/Director of Academic Services
Our client is looking to recruit an Executive Assistant to support the Registrar/Director of Academic Services with the provision of administrative support to the work of the directorate. It is a pivotal coordinating role and the Executive Assistant will promote and facilitate team working and consistent directorate planning and processes.
Responsibilities will include:
* Diary management and comprehensive secretarial support ensuring appropriate prioritisation of urgent matters and flexibility as required within a busy schedule
* Organise attendance, offsite meetings, external events, registration coordination, travel and accommodation.
* Prioritise incoming email correspondence, replying on the Director's behalf when possible, and drafting/typing other replies for later approval
* Proactively prioritise urgent actions and make judgements about the
* issues/meetings/requests for time, rescheduling and reorganising as necessary and coordinating responsibilities
* Arrange and organise meetings including drawing up itineraries and agendas, arrangements for visitors, booking venues, arranging equipment, liaising with caterers and producing clear and accurate minutes or notes.
* Maintain confidential records of annual leave, sick leave, and expenses claims
* Collate, review and prepare a range of reports, papers and other documentation
* Maintain effective filing systems, both hardcopy and electronic
* Act as Information Officer for the Director's files to assist with information security and Data Protection
* Be responsible for liaising with the Finance department to ensure the Director's budget statements are up to date
* Assist in the preparation of presentations
* Research examples of good practice in other organisations
* Diagnose, resolve and escalate IT issues where necessary
* Act as interface, communication link and primary conduit between office and external and internal contacts and stakeholders
* Work with the relevant lead for projects led by Academic Services
