Facilities Assistant

Summary

The successful applicant will have to complete a suitability for employment check via the Disclosure and Barring Service.

40 hours per week at £8.18 p/hour. Working days are Sunday to Thursday.

Primary Purpose of the Job

  •  To support the Site and Facilities Manager in ensuring the smooth, effective, efficient and safe operation of the buildings, exhibitions and grounds and deliver an excellent standard of service to exceed our visitors’ expectations.
  • Responsible to Site and Facilities Manager
  • Principal Responsibilities 
  1. To maintain buildings, grounds, plant, systems, equipment and all other ‘hard’ services to a high standard to ensure safe, efficient and continuous operation and maximise visitor enjoyment.
  2. To maintain cleaning, waste management, pest control, security and all other ‘soft’ services to a high standard to ensure safe, efficient and continuous operation and maximise visitor enjoyment. 
  3. To achieve these aims by working in harmony with colleagues and volunteers and through maintaining good relations with other stakeholders and external service providers.

Main Duties

  1. To support the day-to-day operations, maintenance and security of the buildings, exhibitions, grounds, equipment, plant and machinery by following work programmes and resolving, reporting and recording issues promptly.
  2. To provide general maintenance and repairs to the buildings, structures, grounds, plant and equipment to ensure the highest possible standards of presentation and to maintain service provision.
  3. To maximise visitor enjoyment of the site by ensuring that all exhibits, fixtures, fittings and premises are maintained to the highest standards of presentation and cleanliness.
  4. To, in conjunction with Lettings and Events Manager and Site and Facilities Manager, investigate and resolve issues for both commercial and residential tenants as well as for functions and events as required.
  5. To share responsibility for the opening and closing of the premises as a registered key-holder. **These include late hour lock ups, when, by prior agreement with your Line Manger, you may leave site to return to secure Heartlands after late night bookings end.
  6. To liaise with and supervise external contractors as required. 
  7. To support the Site and Facilities Manager in effectively sourcing and purchasing equipment and materials required to keep all exhibitions and their back-of-house support systems functioning to their optimum potential.
  8. To support the maintenance of Health & Safety at Heartlands, undertaking risk assessment / method statements as required
  9. To assist in the delivery of events, exhibitions and hospitality across the site including set-up, stewarding, break-down and cleaning.
  10. To provide consistently high standards of visitor care at all times when welcoming visitors to the site; answering visitors’ queries and providing information about the site. 
  11. To respond to complaints; listen to feedback from our visitors and to ensure that it is used positively to influence and develop the organisation and its activities.
  12. To keep up to date with the history of the site and past / present / future developments to ensure consistently excellent product knowledge.
  13. To work as part of a wider team across the Heartlands Trust to deliver organisational objectives. 
  14. To take responsibility for your own personal development and to share your learning with others.
  15. To be an advocate for the Heartlands Trust and to promote the aims of the organisation.
  16. To uphold and comply with the organisation’s Policies and the Law in relation to Health & Safety, Financial Regulations, Equal Opportunities, Data Protection and other adopted Policies and Procedures required for the smooth and effective operation of the organisation.
  17. To undertake other duties and responsibilities commensurate with the status of the post as may from time to time be required by the Site and Facilities Manager.
