Oxford and District Mencap (ODM) is a charity affiliated to, but financially independent from National Mencap. ODM supports people with learning difficulties who live in the Oxford area. We organise 5 weeks of holiday camps run during July and early August every year, and a social club which meets on a weekly basis. The holidays are very important- for many this is the only holiday they will have, and it gives parents time to spend with their other children. There is a need for lots of fundraising! ODM is looking for a part-time Executive Director (ED) with good organisation and people skills, enthusiasm and preferred (but not essential) experience of working with people with learning difficulties. The ED will be required to manage the charity activities, with particular responsibility for the summer camps, and fundraising. The post will average 3 days a week over the year, allowing for a more intensive working period before and during the summer holiday camps. Pay for this self-employed position will be GBP18,000 per year. Job location (usual place of work): In Oxford area Pay rate: GBP18000 per annum Pay is pro rata?: Yes Job title: Executive Director Applications close on date: 31st July 2018 Hours are: Part time Contract is: Temporary to permanent Job description: Experience/abilities required: Essential experience/abilities: • Enthusiasm and ability to work with people generally, including those with learning difficulties, volunteers, and members of the committee. • Proactive approach, ready to take the initiative. • Some experience in fundraising and the processes involved with grant applications. • Good IT skills. • Holding a Driving Licence. Desirable but not essential experience/abilities required: • Completing a course in Protection of Vulnerable Adult Training. • A First Aid qualification. Post Responsibilities: Working with the committee of Oxford and District Mencap (ODM), the Executive Director (ED) will be responsible for: Summer holidays camps: • Recruiting leaders and volunteers, working with the holiday co-ordinator and the committee. • Running a leader meeting (March) and an Orientation Day for new guests and volunteers (June). • Agreeing programme of holiday dates with the leaders and holiday co-ordinator and notifying volunteers and guests. • Managing camper numbers and communicating, including some visits, with the families. • Preparing and managing the holiday budget in conjunction with the committee treasurer. Monitoring and managing payments out and receipts in. • Recruitment and training of volunteers for each camp with the leaders. • Recruitment of nurses and cooks for each camp. • Visiting and monitoring the camps while they are in progress, in conjunction with committee members. • Arranging mini-bus hire, and ensuring drivers have the local authority driver test certification • Updating the procedures/ training documentation. • Organising activities and confirming risk assessments based on the itineraries involved. • Liaison and booking of Hill End and Wales camp venues. 7 o'clock club: • Oversight of the club which meets weekly on Wednesdays in Oxford 7-9.30pm • Managing finances involved in conjunction with the committee treasurer • Broadening the activities available both within the Wednesday evenings and outside of this. Compliance of the holiday camps and 7 o'clock club with Statutory and Regulatory requirements: • Ensuring compliance with Health and Safety requirements. • Ensuring Disclosure and Barring Service (DBS) checks are obtained for all those in contact with vulnerable people. Fundraising: • Both the ED's salary and the club activities are dependent on fundraising a minimum of approximately GBP45,000 per year. • The ED will be leading this process supported by members of the committee. Committee/ AGM Meetings: • Approximately 4 meetings are held during the year, plus an Annual General Meeting where all members of ODM are invited to attend. • The ED will attend these meetings and present a progress report for each meeting. • The ED will agree with the Chair and Secretary an agenda for each meeting. Newsletter, Website and Comms • Production of the twice-yearly newsletter and monitoring of the website, in conjunction with the committee. • Maintaining a database of supporters, volunteers and campers that can be contacted at any time with relevant information and local updates Pay and expenses: Self-employed Pay: • The ED will be responsible for paying all necessary Tax and National Insurance contributions. Time Sheets/Expenses: • The ED shall submit a monthly record of all time and details of work involved to ODM. • The ED shall keep a record of all authorised expenses involved in working for ODM and submit a monthly expense record to the Committee Treasurer for reimbursement. • The ED will need to have his/her own car and keep a record of all mileage involving ODM work for reimbursement. • The ED will need to have his/her own laptop.
