Our client is seeking an Events & Project Manager EMEA to join their existing Marketing Team based in Aldershot.
The key purposes of the role are:
• Planning and managing defined marketing projects with both our client's direct and distributer markets.
• Organising and managing staff events, customer events and international congresses within the EMEA region.
• Complies with the company's Standard Operating Procedures.
Scope /Dimensions of the role:
• The scope of the role covers the UK and other countries in the EMEA region.
• Marketing is led by the Vice-President, Marketing Director for EMEA. Functionally, this role works to support and drive EMEA marketing activities.
• Operationally, the EMEA business is led by the Senior Vice-President, Managing Director for EMEA. Operationally, the scope of the role is defined by the countries where commercial activities are underway or planned in the foreseeable future.
30% of the role will focus on supporting the EMEA Marketing Team:
• Managing defined projects agreed with the Marketing Director EMEA that support our client's direct markets and our distributer partners.
• Following internal processes for finance, compliance and overall project management.
• Taking responsibility for processing and tracking EMEA marketing spend from purchase order generation to invoice settlement.
70% of the role will focus on event and congress management, including:
• Managing congresses, including booths and satellite symposia at International congresses.
• Managing the budget for all events and creating reports for the Marketing Director EMEA.
• Managing the "teamwork" project plan for all events.
• Assisting the Marketing Director EMEA in the writing of reports and presentations, including staff briefings.
• Visiting venues to guide and optimise venue selection.
• Manage external vendors such as exhibition booth builders, accommodation providers and congress organisers.
• Delegate management including registrations, website administration, communication and on-site delivery.
• Delivery of on-site support at events to ensure all objectives are met and delegates leave with a very positive experience of the company.
• Completing post event evaluation, including an after-action review to identify continuous improvements.
• Organising and hosting presentations and customer visits to our client's offices in the UK and Ireland.
CANDIDATE REQUIREMENTS
• Graduate level education, (or equivalent) preferably in marketing related field, congress management or communication studies or a track record of working in marketing/promotional support roles and/or congress management.
• Proven experience of working in an existing events and project management role.
• Professional manner and positive attitude towards work and with a focus on delivering exceptional customer service.
• An ability to manage complexity (across markets, functions, cultures) is essential.
• Outstanding attention to detail and the ability to work to a strict timeframe and prioritise own workload.
• Experienced in desk-top publishing and website administration.
• Excellent communication skills both written and verbal with good judgement.
• A strong ability to work both as part of a team and independently.
• Demonstrable interpersonal influencing and communication skills are essential.
• Good understanding of financial management, building and monitoring budgets.
SKILLS & COMPETENCIES
• Confident - Can work with internal and external stakeholders with minimum support from Line Manager. Not afraid to make decisions within pre-specified boundaries.
• Excellent communication skills - Impactful written and oral skills. Able to communicate effectively to both internal and external stakeholders. Good sense of humour, trustworthy and strong work ethic.
• Strong organisational skills - Able to plan and prioritise time effectively. Strong project management skills to meet deadlines.
• Collaborative working approach - Ability to work closely and collaboratively with stakeholders at all levels to move projects forward.
• Commercial awareness - Strong business acumen, able to contribute to budget discussions and manage own budget.
• Flexible approach - Able to operate across functions and in a wide range of areas. Operational focus to get things done.
• Customer focused - Demands to understand the needs of the customer. Uses a proactive and responsive approach, building influential relationships with key stakeholders, both internally and externally.
• Strong IT skills - Able to work on a variety of PC and Mac software platforms and programs. Proficient in website content management and desktop publishing.
