Recruitment Coordinator/Administrator - Strong admin skills, HR Systems

We are actively looking to secure an efficient and diligent Recruitment Coordinator to join Experis.

Job Purpose

We require a Recruitment Coordinator to join the team here at Experis, working onsite with one of our prestigious Investment and Asset Management clients based in Edinburgh. The successful candidate will be required to work in the Talent Acquisition (TA) Team supporting TA Consultants who work in partnership with the business and key stakeholders within the HR Team. The purpose of the role is to provide administrative support to recruit highly talented individuals.

Your Key Responsibilities

  • To support a Talent Acquisition service that enables the business to source, select and on-board the very best talent available through an efficient and cost effective operating model that is scalable and sustainable globally
  • To provide administrative support for the end-to end recruitment process:
  • Supporting candidate attraction g. managing job posting on the careers sites, social media content, candidate and CV screens as appropriate
  • Candidate and data input and maintenance of HRIS
  • Drafting and issuing letters and contracts of employment
  • Onboarding to Health Management
  • Acting as the first point of contact for recruitment enquiries from both internal and external stakeholders (eg hiring managers, candidates, suppliers)
  • Raising and managing purchase orders, ensuring suppliers are paid in a timely manner
  • Management of the team mailbox and respond to candidate queries
  • Processing candidate expense claims
  • Maintaining recruitment systems and candidate workflow
  • Provide Talent Acquisition support to more junior level recruitment across the business
  • Support aspects of People Function projects and initiatives, which may include leading work packages, testing systems, inputting to projects based on own knowledge and expertise.
  • Be an ambassador for the client, ensuring positive candidate & hiring manager experience regardless of outcome
  • Provide timely and accurate MI and reporting
  • Identify issues or areas for improvement within existing processes and highlight to appropriate stakeholders, following through any changes to processes and transactions to agreed standards and timescales.
  • Assist TA consultant with direct sourcing or candidate screening as required
  • Work flexibly across the range of administrative tasks performed in the function.

Your skills:

The ideal candidate will be highly organised and quick to learn. You will be able to multi-task in a very demanding environment whilst maintaining positive and professional relationships with all stakeholders. You will need a keen eye for detail and strong administration skills. An ability to work to tight deadlines whilst maintaining accuracy and efficiency is essential.

Qualifications/Experience:

  • Knowledge of HR Systems, in particular Applicant Tracking Systems (Oracle Taleo or Workday preferred)
  • Previous experience of processing purchase orders and expense management
  • Good knowledge of all Microsoft packages (Word, Excel, Outlook) with ability to embrace new technology
  • Solid understanding of regulation surrounding data privacy
  • Previous experience within a busy recruitment administration team is essential, ideally within a financial services environment
  • Natural team player, with excellent organisation skills and flexibility to work on multiple tasks concurrently, responsive to the needs of different stakeholders.
