Tapoly is an insurtech offering on-demand insurance for freelancers, contractors and SMEs. We are looking for an enthusiastic, fast learner with a can-do attitude to join our dynamic and international team. You will be working closely with the CEO, and given additional marketing and management tasks as you gain experience. This role is suited to a person with some experience who would like to expand outside their comfort zone. It has great career potential as the company is expected to grow rapidly in the next few years. You may be required to travel and work at weekends when required (with appropriate compensation).

Responsibilities

  • Devising and maintaining office systems, including data management and filing;
  • Arranging travel, visas, accommodation, and occasionally travelling with the team to take notes or dictation at meetings or to provide general assistance during presentations and events;
  • Screening phone calls, enquiries and requests, and handling them when appropriate;
  • Meeting and greeting visitors at all levels of seniority;
  • Organising and maintaining diaries and making appointments;
  • Dealing with incoming email, faxes and post, often corresponding on behalf of the manager;
  • Carrying out specific projects and background research, and presenting findings;
  • Producing documents, briefing papers, reports and presentations;
  • Liaising with clients, suppliers and other staff;
  • Assisting with recruitment and training junior staff as appropriate.

Skills and Qualifications

  • Native English speaking, fluent in French or German is a plus;
  • University degree, with a minimum of two years' relevant experience as personal assistant, business administration, event organizer, or in PR, media and marketing;
  • Exceptional written and oral communication skills;
  • Excellent word processing and IT skills, including knowledge of social media and marketing;
  • The ability to work under pressure and to tight deadlines;
  • Good organisational and time management skills;
  • The ability to research, digest, analyse and present material clearly and concisely;
  • Excellent interpersonal skills;
  • The ability to work on your own initiative;
  • Flexibility and adaptability to juggle a range of different tasks, and willing to work extra hours to meet deadlines;
  • Discretion and an understanding of confidentiality issues.
