Responsible To
Reception Supervisor /Practice Manager
Hours
37.5 hours per week. Monday –Friday, practice open 7 -7 Mon – Friday Shifts required. Practice also open 8am-10am on Saturdays. Cover required on a rota basis
Job Summary
To form part of the front of house team. With a focus on ensuring all patients are welcomed and bookings handled in a swift and effective manner.
To provide general/administrative assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.
- Greet patients and visitors to the practice.
- Book, amend, cancel and arrive patient appointments in line with practice appointments procedures ensuing optimum efficiency of the appointment system.
- Answer all telephone calls to the practice dealing with enquires, fielding calls where appropriate and taking messages
- Regularly check fax machine for incoming messages. Send faxes as required.
- Check and action all incoming electronic requests and queries daily
- Amalgamation of new patient records.
- Ensure reception and waiting areas are kept neat and tidy
- Produce repeat prescriptions according to practice procedures and ensure timely distribution of completed prescriptions.
- Assist with patient registrations
- Data input – updating patient records, coding etc.
- Ensure up-to-date maintenance of both computerised and manual filing systems (i.e. patient notes).
- Pull and File patient notes for clinicians as required
- Open and sort incoming post as directed
- Deal with outgoing post
- Scan documents for electronic filling
- Advise patients of relevant charges for private services, accept payment and issue receipts for same.
- Attend practice/reception meetings
- Assist with patient audit and recalls
- Tidy and prepare consulting and meeting rooms as required
- Restock reception and clinical rooms with stationary and non-medical supplies
- Prepare and open up the premises at the start of the day when first to arrive, de-activate alarm and make all necessary preparations to receive patients
- When last to leave at the end of the day, ensure that the building is secured, internal lights are switched off and the alarm activated.
- Undertake administration tasks as allocated on rota organised by Reception Manager
- Provide holiday/sickness cover for absent reception staff as and when required
- Undertake any other additional duties appropriate to the post as requested by the Partners or Practice Manager
- Work safely at all times in accordance with Legislative requirements
- Adhere to all Practice Policies and Procedures

- In the course of seeking treatment, patients entrust us with, or allow us to gather, sensitive information in relations to their health or other matters. They do so in confidence and have the right to expect that staff respect their privacy and act appropriately
- In performance of the duties outlined in the Job Description, the post-holder may have access to confidential information relating to patients, their carers, Practice staff and other healthcare workers. They may also have access to information relating to the practice as a business organisation. All such information from any source is to be regarded as strictly confidential
- Information relating to patients, carers, colleagues, other healthcare workers or the business of the practice may only be divulged to authorised persons in accordance with the practice policies and procedures relating to confidentiality and data protection

- Using personal security systems within the workplace according to practice guidelines
- Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks

- Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards
