Your new role

You will be leading on administration to maintain an efficient Private Office.

* Leading on diary management (if working for one of the Director-Generals).
* Providing general administrative support by taking minutes in meetings, printing board papers, booking rooms, arranging hospitality and commissioning briefing for meetings.
* Fielding incoming calls, correspondence, submissions and briefings to the relevant team member in adequate time for them to consider the content and make decisions.
* Compiling action files and day packs.
* Reviewing and processing travel and hospitality expenses.
* Ensuring general office supplies, team documents and contacts lists are kept up to date.
* Helping to maintain TMG's budget records and monthly forecasts.
* Providing ad hoc cover for team members as needed.

* Travel planning is initiated in good time through liaison with other team members and overseas offices.
* Appropriate accommodation, visa and travel arrangements are booked, and that these adhere to good value for money principles.
* Good communication is maintained with DFID's overseas offices to ensure programme and briefing packs are developed on time and to a high standard.
* Accurate records of all costs incurred on overseas travel plus gifts and hospitality received are maintained and submitted promptly to the Cabinet Office.
* Logistical information and documentation is communicated clearly to Ministers, the Executive Committee, the wider team and country offices in line with security procedures.

What you'll need to succeed

You will need experience within the public sector with a Basic Disclosure. You will need experience within an administrative or diary management capacity. If you have any experience in development will be desirable so please do state if you have these experiences.
