DEPARTMENT INTRODUCTION

The University of Exeter Doctoral College was established to support the University's vision to become a sector leading provider of Postgraduate Researcher (PGR) supervision and support and early career researcher (ECR) training and opportunities. The Doctoral College brings together institution-wide support, training, and administration for all of our postgraduate and early career researchers. Working across all six Academic Colleges within the University as well as key Professional Services, the college ensures that postgraduate and early career researchers have an outstanding start to their research careers.

JOB DESCRIPTION

Purpose of Role

The candidate will provide a customer focused enquiry, and work effectively within a wider team to deliver a service of administrative support to students, staff, and external contacts.

Duties and Responsibilities

  • Provide an administrative support service for the Researcher Development Team and the wider Doctoral College when required.

  • Act as a first point of contact for internal and external enquirers, maintaining the highest standards of customer service and responding to or resolving enquiries appropriately.

  • Maintain a central information point for subject area; collating and updating relevant information through a variety of media.

  • Support PGR events and activities throughout the academic year.

  • Support and help develop social media communications.

  • Use systems and software efficiently to process and input data, and maintain accurate records relevant to the role.

  • Assist with the organisation of training sessions, workshops and events.

  • Undertake routine financial transactions.

Training and Development opportunities

  • Develop a working knowledge of subject area, particularly in relation to processes and systems, being able to signpost these to others and provide support to staff and students as required.

  • Service meetings, working groups and committees by providing agendas, minutes, papers, as well as managing logistical arrangements

  • Undertake discrete areas of project work, as delegated by your line manager or other senior stakeholders

This job description summarises the main duties but the post holder is also expected to undertake other duties commensurate with the level of the post as requested by the line manager.

PERSON SPECIFICATION

Qualifications

  • Graduate of a UK university within the last 3 years

Skills

Essential

  • Excellent organisational and planning skills and the ability to prioritize and meet deadlines under pressure

  • High levels of accuracy and attention to detail.

  • Fast and accurate database inputting skills and maintaining and using a database for retrieval of information

  • Ability to communicate effectively with precision and accuracy in person, in writing and email, and by telephone with a diverse range of people

  • Excellent IT skills including proficiency in MS office (especially, Excel, Word and PowerPoint) and web based programs.

    Desirable

  • Knowledge of Higher Education and the issues facing postgraduate research students

Prior Experience

Essential:

  • Experience of delivering excellent customer service and effectively handling complex enquiries

  • Relevant administrative experience

  • Experience of working in a team to deliver to multiple objectives.

Desirable:

  • Experience of working within an HE environment

  • Experience of SITS

  • Experience in handling complex processes, tracking progress and reporting on outcomes.

  • Experience of event organisation

  • Financial administration experience

Personal Qualities and Attributes

  • Ability to be flexible and deal with frequent interruptions whilst maintaining focus and accuracy

  • Ability to present a professional image of the University of Exeter at all times

  • Confidence and ability to work independently with appropriate supervision

Other Requirements

  • Right to work in the UK for the duration of the internship.

  • Willingness to work outside normal working hours when occasional and reasonable requests are made.
