Operations and Marketing Assistant 

Salary: £18,200                                              Annual leave: 30 (inc. public holidays)

Full time: 5 days per week                             Reports to: Managing Director

Duration: 3-month probationary period, leading to permanent role upon mutual agreement

Standard office hours of 09:00-17:00hrs. You will be expected to put in longer hours in the run-up to campaign launches, month/year end, and attending events such as seminars or other as planned for.

Location: Organisational Elephant Ltd., Ballochleam Farm, Glinns Road, Kippen, Stirlingshire, FK8 3JN (Note: the office location may move to Stirling for an extended period – ability to work in both locations is required)

We are looking for a zealous Operations and Marketing Assistant to support the operation of our new company in its primary and administrative duties. The role is hugely varied and will suit those who relish change and want to play an integral role in the company’s journey to success.

Person specification

  • A strong administrator with an attention to detail
  • Great interpersonal skills - a personable manner, a proclivity for team-working and adaptability with an ability to work on your own initiative are all important
  • Excellent organisational skills - excellent project management skills, able to meet deadlines and maintain a high level of accuracy
  • Excellent written and oral skills - strong copywriting skills and proficiency in English. You will also have to regularly deal with clients and suppliers, face to face or on the phone
  • Flexibility and adaptability to juggle a range of different tasks and to work extra hours to meet deadlines
  • Commercial thinker - the ability to spot a commercial opportunity
  • Can-do attitude with a sharp, dynamic mind and ability to think on your feet
  • IT skills - proficiency in MS Office 365 Packages
  • Willingness to learn and take direction from the others
  • Understanding and experience of activation social media and digital campaigns
  • Flexible working style and action oriented approach
  • Ability to work under pressure and to tight deadlines
  • Ability to research, digest, analyse and present material clearly and concisely

Additional desired skills

  • IT skills: experience working with MS Dynamics (finance, marketing and operations modules)

  • Numerical and analytical skills: to help prioritise the size of opportunities and to make sound marketing and financial recommendations based on strong analysis

Experience

  • Degree educated or equivalent related work experience
  • 1-2 years marketing and operations experience
  • Previous experience of e-commerce & digital marketing

Marketing assistant responsibilities

  • Assist the Marketing Manager
  • Assist with the production of marketing materials and literature, such as web content, brochures and press releases
  • Research market trends, demographics, pricing strategies, and other relevant information that helps managers develop marketing plan
  • Analysis of surveys, polls, and other market research to look for patterns and trends
  • Evaluate marketing campaigns using tracking and analytical software and assess the results
  • Responsible for ensuring social media posts are being delivered effectively – on the right channels, to the right audience at the right time
  • Work with UK influencers and discover new influencers for the brand
  • Identify partnership & sales opportunities
  • Monthly reporting on marketing activities
  • Assist with the collation of information for promotional literature
  • Help organise events, exhibitions and seminars, making bookings and overseeing the guest list
  • Write and proofread copy, help design and place advertisements
  • Upload material to the website(s), social media pages, online libraries and marketing department databases
  • Create content for digital and social media channels
  • Evaluate marketing campaigns using tracking and analytical software and assess the results
  • Liaise with graphic and website designers
  • Help with presentations by assembling videos, slideshows and analysis of competitors
  • Visit clients and attend trade shows and exhibitions

Operations Assistant Responsibilities

  • Assist the Managing Director
  • Devising and maintaining office systems, including data management and filing
  • Facilities management, ordering and maintaining supplies
  • Arranging travel, visas and accommodation and, occasionally, travelling with the manager to take notes or dictation at meetings or to provide general assistance during presentations
  • Screening phone calls, enquiries and requests, and handling them when appropriate
  • Meeting and greeting visitors at all levels of seniority
  • Organising and maintaining diaries and making appointments
  • Dealing with incoming email, faxes and post, often corresponding on behalf of the manager
  • Processing invoices and fulfilling orders including arranging for the delivery of domestic and international packages
  • Carrying out background research and presenting findings
  • Producing documents, briefing papers, reports and presentations
  • Organising and attending meetings and ensuring the manager is well prepared for meetings
  • Liaising with clients, suppliers and other staff
