Key Accountabilities
" Maintain the in-house software system to manage around 250 rental contracts
o Create new contracts, off-hiring existing contracts, daily review of engineer job sheets to update service data and create monthly servicing reports for engineers and monthly invoicing
o Proactively liaise with internal teams e. Sales, Accounts and Engineers to keep updated and track rental changes
" Act as the coordinator of around 50 events per year liaising with external customers to:
o Create & confirm quotes
o Event logistics and use excel to update event spreadsheet
o Create logistic templates and diary updates for Engineers
o Contact for pool of external Baristas
o Timely invoicing for events
" Act as contact for coffee machine suppliers e. Astoria and Rocket Espresso for machine orders, machine spares and boiler safety certificates and act as trade customer contact
" Additional project work as and when required to support the business
" Provide personal Assistant support for Managing Director
" Administrative duties as and when required e. daily sales & service invoicing, couriers
