Executive Assistant - EA - Personal Assistant - PA - Senior Level - Banking - Financial Services - Executive Assistant.

Duties Include:

  • To support the Security Director (primary focus) and his DRs (secondary focus) - managing their time and facilitating their requests for action.
  • Have an appreciation and understanding of the needs of the Security Director and his DRs, ensuring full support is provided at all times.
  • The job holder will need to exercise the highest levels of discretion & confidentiality at all times.
  • The job holder will be required to build and maintain relationships with internal and external contacts.
  • Build an understanding of the Security functions within the company.
  • Complex diary management - to organise schedules for key activities, proactively manage the diary; schedule and prioritise meetings; ensuring obligations are met and ensure supporting papers are available in a timely manner prior to meetings/events.
  • Provide detailed schedule of activity in advance, particularly when out of the office for prolonged periods of time.
  • Ensure preparation and administration time is allowed for. Ensure evening commitments are balanced across the diary.
  • Ensure preparation and administration time is accommodated within the diary, eg., annual assessments and individual reviews for all direct reports.
  • Screen all incoming calls and correspondence with particular reference to diary management..
  • Correspond with internal & external customers as needs dictate, providing high level of accurate work for internal and external viewing.

Skills Required:

  • Solid experience within an EA/PA role to senior level.
  • Consistently display positive, professional and approachable behaviours - displaying the company behaviours.
  • Excellent communication skills - uses all relevant channels and resources to communicate effectively and proactively.
  • Able to work with minimal supervision.
  • Team working - ability to build and maintain effective working relationships with a wide range of people.
  • Work co-operatively with others as part of a team.
  • Organisation and detailed planning ability is essential.
  • Demonstrate strong disciplines with regard to accuracy and quality of output.
  • Discretion and confidentiality is essential.
  • Flexibility to travel when required.
