Conveyancing Paralegal
Job Title: Conveyancing Paralegal
Member of: Conveyance Department
Job Purpose: To be a key member and provide a proactive comprehensive, high quality
service to assist the Conveyance Team and the wider department when required.
Key Tasks
Giving estimates of costs to new clients, in the absence or in the direction of Partner or Legal Adviser
Taking initial instructions for Sale and Purchase
Opening files
Typing correspondence, photocopying for self, partners and Legal Advisers as requested
Dealing with clients, estate agents, mortgage lenders and solicitors by telephone, post, e-mail or in person, as necessary, at every stage of the transaction and running a file as the owner of the file.
Dealing with Pre exchange of contract work that has been delegated by a Legal Adviser to you using the Case Management System.
Dealing with post-exchange work and registrations
Dealing with post-completion work - stamping of docs, registration and scheduling of Deeds
Maintaining your own and partners' and Legal Advisers' diaries and dealing with matters arising, in liaison with the Partner/Legal Adviser
To ensure the confidentiality of all the firm's and client's documentation and information
To undertake any specific training when required to do so and overall to have a responsibility towards self-development
To achieve agreed levels of time-recording (as appropriate) such other tasks as may be required from time to time
Have appropriate skills or ability to acquire and develop skills in order to utilise case management system
(a) utilise case management system
(b) deal with pre-exchange work and
(c) conduct exchanges of contracts
(subject to appropriate training and supervision)
To provide support to other secretaries and Legal Advisers in the Property department as may be required
To undertake other clerical and Property Assistant and administrative duties as may reasonably be required from time to time
Knowledge & Skills Required (Person Spec):
Efficient and well organised, with good control of diary systems and competent in the firm's computer facilities
Must have conveyancing experience in a similar role
Excellent word-processing and audio-typing skills
Good knowledge of property processes and procedures
Effective oral and written communication skills
Pleasant and positive manner in dealing with colleagues and clients
Ability to evaluate a situation in the face of time constraints and react appropriately to any situation
Ability to note and follow instructions from Legal Advisers
Ability to research and present information for Legal Advisers
Good Time Management and file organisation and personal organisation
