TEAM LEADER
A fantastic opportunity has arisen for a Team Leader to join my client's team within the Documentation Production team at their law firm in Maidstone. The Document Production team's role is to provide fee earners with a consistent, professional and accurate document production service. You will be responsible for ensuring that deadlines are consistently met whilst ensuring Best Practice is applied and will also be responsible for all monthly reporting.
This role would potentially suit a Legal Assistant / Secretary who has previously dealt with document heavy work with experience of MI and analytical work. Since this role is client facing you will need to confident dealing with people at all levels and happy speaking with solicitors to renegotiate work and promote the document production team to the firm.
The Team Leader will also act as a department 'coach' and assist in the development of the staff by helping employees look for opportunities to develop and succeed in their job. The Team Leader is required to motivate, advise, give feedback, be supportive and provide strategic direction. This is a hands on role and will involve working alongside the team to deliver the overall service.
Key responsibilities:
The main duties will include but are not limited to the following:
• Manage all aspects of service and workflow, ensuring that agreed service levels are maintained and exceeded where possible.
• Continually look for ways in which service levels can be improved.
• Encourage a customer service environment and ensure that all processes reflect this.
• Ensure all staff are appropriately trained.
• Ensure new entrants receive a full induction and are successfully integrated into the team.
• Directly supervise Document Production Specialists, tracking all aspects of performance and giving regular feedback through one to ones.
• Assist the manager in implementing the performance review process.
• Manage the resources available to ensure that the most effective use of the team is made.
• Ensure absence is managed effectively, completing return to work meetings where necessary and monitor timekeeping.
• Monitor and ensure staff compliance with established procedures i.e. operational process, quality control procedures, conduct, attire, performance and attendance.
• Assisting the Business Services Manager with the compilation of monthly reporting, and to actively participate in the Account Management Programme.
• Assist the Business Services Manager in the recruitment and induction of team members.
Do you have?
• Previous experience within a Law Firm
• Typing speeds of at least 60 words per minute?
• Attention to detail
Are you:
• Customer focused, with experience in staff management in a customer service
environment.
• Self-motivated, with the ability to lead by example.
• An effective communicator
• Flexible and dependable, able to take the initiative.
• Able to prioritise, problem solve and deliver under pressure.
