This innovative workplace consultancy are looking for an experienced workplace Move Manager to join a small team based in the property group at one of their sites in West London The role is an ongoing contract, which can be undertaken in either a sub-contractor or employee capacity. Duties include:
Move Planning and Preparation
- Interface with and support the information gathering with departmental heads to compile the move brief
- Instruct Space Planner on requirements of the move to produce proposed plans for client approval
- Take existing Client information to develop the move matrix detailing move information, IT requirements, filing details and specialist requirements
- Produce a detailed resource and activity schedule for each move detailing the sequence of events involving all parties and service providers
- Gather and collate all move costs from internal and 3rd party contractors, prepare overall budget for client approval
- Prepare move packs for each relevant party including move matrices, R&As, existing layouts and proposed layouts detailing where users are moving from
Pre Move Activities
- Preparation of move packs, production and distribution of labels
- Ensure security arrangements have been met
- Liaise with staff groups as required
Management of the physical Migration
- Management and co-ordination of the move contractor in pre-move packing, crate deliveries and labelling
- Carry out building inspections with the removals contractor and clients representative and implement damage reporting procedures
- On site assistance prior to the move start time to assist users with packing/labelling and preparation picking up any issues where possible to ensure the success of the move
- Management, attendance and supervision of all move related activity during the physical relocation
- Carry out final checks for each department to ensure all items are present, positioning is correct and attention to detail has been achieved to ensure the Client objective has been met. Check each desk location against the plans and move matrices.
- Check existing locations to ensure all items have migrated or been cleared and achieving client sign off that the areas are clear.
- Carry out final walkthroughs with the client and moves contractor to ensure everything has been achieved and is satisfactory.
Post Move Support
- Assist users in their new environment, addressing all issues in a quick and efficient manner. Maintain a log of all issues.
- Attend site to present post move progress briefing to client's representatives following each relocation phase
- Undertake a post move review, check with client's move co-ordinator that the room layouts reflect the agreed floor plan. Establish key services criteria and views
- Prepare a post completion report analysing the activities of the project highlighting lessons learnt and recommendation for efficiency improvement
