Term-time Admissions Assistant (from September 2018).

Gap Year graduates will be considered.

This is initially a 12 month contract for the 2018/19 academic year.

The MGS Admissions department consists of three full-time members of staff; Director of Admissions, Admissions Manager, Admissions Officer and a term-time Admissions Assistant.

Assessments take place throughout the whole year where up to 20 boys can be assessed each day. The job is essentially one where support is required with the assessment days and other general office and administrative duties.  Good communication skills and the ability to get on with people are essential. In order to fulfil this role, the successful candidate will need to liaise with current and prospective pupils, school teaching and non-teaching staff.  A good working knowledge of Microsoft Office is essential. Training will be provided on any other systems including the school’s Management Information System, ISAMS.

The main responsibilities include the following as well as any other reasonable requests to enhance the day-to-day running of the department:-

  • Data input of application forms on to our Management Information System (ISAMS). The school hopes to be able to offer electronic registration in due course.
  • Acknowledging receipt of application forms.
  • Printing and filing the electronic registration forms.
  • Updating School details on ISAMS e.g. Headteacher, email etc.
  • Sending reference requests to current schools.
  • Sending emails to current schools upon receipt of acceptance documents.
  • Posting out prospectus requests/application forms.
  • Assisting where necessary with greeting candidates before assessment, taking photographs and producing candidate records/name badges/registers.
  • Preparation of FB1 (declaration of finance forms) packs, sending FB1’s to bursary applicants.
  • Assessment Days administration. Sending reminder emails, printing registers, name badges, preparing the assessment room including checking pencil cases and calling cleaner when necessary. 
  • Taking boys’ photographs and processing them with Photoshop and inputting on to SIMS.
  • Running reports for End of Day cards, and Candidate Record Sheets.
  • Toilet runs.
  • Photocopying hand outs, tracking down Y7 buddies where necessary.
  • Filing references, Assessment Day work and candidate records.
  • Franking.
  • Recording acceptance documents upon return, including inputting of updated information from PIF’s (Pupil information forms). Distributing forms to either the Section Secretaries or Finance department. Chasing up any forms not returned.
  • Retrieving examination papers from the school vault.
  • Preparing information packs for Open Events.
  • Assisting where required on Open Events.
  • Preparing packs of past papers.

The post will be a fixed term contract for the 2018/19 academic year. The position will be reviewed at the end of the year, depending on the needs of the school.

The post holder will be part of the school non-teaching support staff and will report directly to the Admissions Manager. In addition, the Bursar has a responsibility for all support staff and will be the point of contact for any contractual matters.

This is a term time only post (36 weeks per year). The post holder will work from 8.00am until 4.00pm each day with a one hour (unpaid) lunch break. Term time staff must not take any holidays during the school term time – they are paid for a proportion of the school holiday period to account for their holiday pay.

The salary for the post will be based on a full time salary of £15,144, resulting in an actual payable salary of £12,057 per year (£1004.75 per month).

The post will begin in September 2018 at the start of the new school year.
