Our client is recruiting for an Administration Assistant to join their exciting Lottery Funded project.

Title: Administration Assistant
Based: Stafford
Hours: Part-time, 2 days a week with the possibility of additional hours
Contract: Zero hour contract
Responsible to: Project Manager
Salary: £16,210 per annum (pro-rata), £8.29 per hour

The Lottery project is built on an existing Social Hub. This fills a gap left after people have accessed NHS 'talking therapy' sessions but still need support in the community to help them reintegrate into community life. It will run a programme of activities that combine socialising with community based education that builds confidence and self-esteem.

You will be working with the Social Hub group, providing administrative support and involved in data collection for the Social Hub. You will be working with peers/volunteers/ambassadors to support the collection of data to evidence the service.

Main Responsibilities

  • Arranging appointments, meetings, training and events as required for the project.
  • Organising diaries and arranging hotel and travel arrangements if needed.
  • Providing administrative support at meetings
  • Providing monthly, quarterly and ad hoc monitoring information
  • Setting up and maintaining databases (using Microsoft Access and Excel)
  • General reception duties
  • Being first point of contact for clients and professionals
  • Support QMS by seeking to continuously improve the service.
  • Support the Environmental Management System (EMS), in order to take steps to improve the organisation’s carbon footprint.
  • Maintaining and updating IT and manual filing systems/providing monitoring information.
  • Producing publicity material using Publisher (Desktop Publishing) and Word
  • Providing cover for colleagues within skill set as required
  • Liaising with external organisations regarding projects
  • Process Data in line with requirements of the Data Protection Act
  • Support promotion and marketing of the “Stafford Social Hub”.
  • Aware of and fulfil all requirements in respect of Information Governance (IG)

The ideal candidate will be a flexible competent administrator, highly numerate, with excellent administrative and organizational skills. Must be able to work on own initiative without close supervision, to tight and exacting guidelines.

Key Requirements

  • Excellent literacy and numeracy.
  • Knowledge and experience with reporting packages and databases.
  • Good attention to detail.
  • Good administrative and organizational skills.
  • Aware and able to demonstrate Information Governance responsibilities.
  • Adept at queries, report writing and presenting findings.
