Purpose of the Role:

As a Business Executive, you will be responsible for effective financial planning, management and reporting for the Interpretation & Design, Creative Direction, Arts and Cultural Programming, and Daily Programming teams.

You will support the Business Planning & Development Manager and the rest of the team on all matters relating to the financial support of the department including setting up contracts and Contracts for Services for external workers and suppliers.

Key Responsibilities:

Financial management and reporting

  • Work closely with the Business Planning & Development Manager and Department Heads to coordinate and manage the departmental Financial Operating Plan.
  • Work with Department Heads to effectively plan budgets.
  • Work with budget holders to coordinate, process and monitor project finances
  • Manage Year End reporting processes and quarterly finance reviews.
  • Provide expert project support (mainly financial) for Public Engagement projects
  • Enable teams to manage and monitor budgets ensuring necessary infrastructure and training is in place.
  • Provide financial project support on HLF projects.

Office Management, Team Administration and Executive support

  • Create, monitor and support administrative processes for all teams
  • Ensure each office is well organised and equipped
  • Provide support to the Business Planning & Development Manager in setting up new processes, systems and office arrangements.
  • Work with teams to review and implement processes in order to ensure the smooth running of the teams
  • Manage the operation and administration of the Research & Development Studio to ensure maximum efficiency and creative output for each R&D project. Act as the main contact for enquiries, bookings and operations.
  • Manage the interpretation fixed assets register and the Archiving, Retention and Records Management registers.
  • Provide training and support to new members of staff

Contract Management

  • Support on administration of new contracts and management of existing contractors, including HRP's costumed historic interpretation contract.
  • Oversight of all contracts to ensure consistency across the team and adherence with HRP policy.
  • Support and advise on Intellectual Property Right and Copyright issues

The Candidate:

To be effective in this role you will have a sound understanding of project management processes and documentation, budget management, financial project support, KPI reporting, procurement and issuing of contracts. You'll take a keen interest to ensure that all the Company's financial policies and procedures are followed as part of the project management processes. You'll need to be well-organised to co-ordinate and manage the annual financial planning and all reporting for the department.

Educated to degree level or equivalent, and preferably with an accountancy or similar business management qualification, you will have a demonstrable track-record providing operational and financial support to a busy team, preferably in learning, arts, culture, broadcast, production or heritage environment.
