As a Business Support Officer the post holder will work as part of a dynamic team in delivering an effective service supporting managers and staff across the CCIO Portfolio Office and Programme Management Office teams.

The post holder is a key member of the team whose overarching goal is to enable, promote and support the effective use of data, information, knowledge and technology to improve, inform and support a portfolio of projects, services, and initiatives.

In particular the post holder will:

" Act as a point of contact for the teams
" Provide Business Support duties to the team including:
o Support the teams with arranging meetings including preparing agendas, circulating papers and chasing actions
o Support the teams with travel and accommodation requests
o Ordering stationery and stock control
" Provide support to the operations team on a wide range of areas covering finance, HR and procurement for example:
o Establishment Control coordinator - unsure that requests to change the approved structure are affordable and have budget holder approval
o Authorised TRAC approver, ensuring that any roles being advertised have the necessary establishment control endorsements and budget holder approval before advertising. Quality checking information to ensure it is accurate and identifying and resolving any gaps
o Document Transfer System contact for the division, ensuring that all new starter paperwork, change forms, leavers paperwork and other documents are completed accurately and have appropriate authorisation before uploading
o Escalating insufficient approval and resolving where appropriate including advising managers of errors and ensuring cooperation with providing updated information. This may involve difficult conversations when approval is missing and explaining correct policies and procedures.
o Support the wider division with the recruitment and induction of new staff
o Track staffing information to ensure we have an accurate picture of staffing at all times
o Raise and receipting of purchase orders, tracking progress of delivery of goods and services
" Records Management Contact for the division, attending key meetings and events to keep knowledge up to date and disseminating information to colleagues as required
" Dealing with complex and sensitive information, maintaining confidentiality at all times. For example processing HR paperwork and queries related to CCIO Portfolio Office Inbox
" Planning and logistical support for divisional and team events
" Manage team inboxes, ensuring that queries are dealt with appropriately and efficiently
" Providing business support to the wider division (for example, becoming a printer champion, and updating distribution lists)
" Training staff on your area of expertise, supporting new starters on use of various systems
" Other ad-hoc duties commensurate with the role
