About the HR team:

The EMEA HR Team in London and Paris consists of 14 team members working across all 6 practice areas for the whole of the EMEA region on the full remit of HR activities including talent acquisition, onboarding, policy and reward, HR systems, benefits, learning and development, employee relations and HR operations.

About the role:

Working alongside the Global HR Service Centre based in the US and the EMEA HR Team, the HR Associate will be responsible for the successful day to day execution of HR transactional processes to ensure that the HR team delivers an exemplary service to its clients. This includes responding to e-mail, calls and working with people directly in the business.

Key responsibilities:

On-boarding

* Responsible for undertaking background checks, starter administration, inputting onto HR databases including Success Factors and People Soft, setting up HR files (scanning and hard copy) and recording documents on our document management system.

* Liaison with Payroll, Benefits, Facilities, IT and team assistants to ensure a smooth transition for new starters into the firm.

* Running first day new starter inductions and assisting with the quarterly new starter induction event.

* Managing the work experience programme.

* Assist and manage elements of the Graduate recruitment process.

Leavers

* Leaver process administration.

* Check leaver details.

* Ensure employees are terminated on all HR systems.

* Ensure payroll, Benefits, IT and any other relevant people are updated.

* Arrange exit interviews.

Compensation and Benefits

* Manage the administration to support the salary review and bonus process

* Assist with the co-ordination and delivery of the annual review process

* Answer basic employee queries and questions and liaising with the Benefits team where necessary.

* Assist with payroll preparation by providing relevant information to the payroll team.

Global Mobility

* Work with HR colleagues and business leaders on global mobility and secondment cases.

* Assist with and co-ordinate visa applications and sponsorship of international employees - includes liaison with external immigration legal advisors, managing the sponsorship system processes and keeping managers and employees up-to-date on progress and any issues.

* Onboarding of transferees on their arrival in the UK

Training

* Assist with organisation and administration of the learning and development programmes.

Systems and Administration

* Be the first point of contact for employee queries and communicate with employees at all levels of the business, external companies and HR teams across the EMEA network.

* Responsible for ensuring the HR management system, PeopleSoft, is kept up to date and liaising with colleagues in the US based Global HR Service Centre.

* Take meeting minutes and formally record employee relations cases.

* Ensure all filing, both soft and hard copy, is kept up to date, including Ringtail database management system.

* Work with the business to manage the probationary period process.

* Work with HR colleagues to manage the administration of maternity, paternity, shared parental and other leave as necessary to support employees.

* Supporting our colleagues in the business by directly answering questions they have in a timely and efficient way.

* Work on any HR or business projects as required in order to add value wherever possible.

* Undertake any other reasonable ad hoc duties as and when required.

* Contribute to the continuous improvement of the HR service to the business.

* Co-ordinate incoming and outgoing secondment administration.

* Produce weekly headcount reports and other ad hoc reports as required.

Qualifications/Experience :

* Graduates to degree level or equivalent.

* A keen interest in pursuing a career in HR.

* Knowledge of and literacy with Microsoft Office packages.

* Experience with PeopleSoft HR database would be an advantage.
