The successful candidate will take ownership for coordinating timely and accurate payroll for an employee population exceeding 800 employees. Reporting to the Head of Finance, this position will also be the primary focal point for developing and maintaining robust and credible payroll reporting capability to best support the needs of the organisation. JOB DESCRIPTION: Senior Payroll Manager START DATE: ASAP DURATION: Permanent REPORTS TO: CFO LOCATION: London (Waterloo) SALARY: Competitive based on experience ROLE OBJECTIVES Reporting to the CFO, this role will be responsible for the management & administration of high volume payrolls across the organisation. You will be responsible for leading and managing the payroll team ensuring that payroll is processed accurately and on-time, accountable for payroll reporting and meeting those obligations. To be considered for the position applicants must have a high volume payroll background, Advanced Excel skills and be competent on Payroll/HR systems, is adaptable and open to change and have experience of change management. As the Senior Payroll Manager you will be the project lead for the transition from an outsourced payroll provider to an in-house function for our core staff (circa 750 employees). This will include external stakeholder management, implementation of a new payroll system, defining internal payroll processes, and identifying the needs of the payroll team. There will also be an ongoing review of The Challenge's seasonal payroll process which is currently outsourced and covers up to 4,000 seasonal workers each year. The Senior Payroll Manager will also work closely with the wider business on streamlining & consolidating the payroll whilst ensuring that the payroll is processed accurately and on time; in addition the Payroll Manager will develop relationships with IT, Finance, HR, 3rd parties and senior stakeholders. This role will also maintain control and responsibility for the integrity of employee data and will be expected to provide robust and timely reporting. Furthermore, this role will be responsible for ensuring compliance with relevant pay, employment legislation and the implementation of new GDPR regulations relevant to payroll processing. MAIN RESPONSIBILITIES Payroll Management Overall Management of the in house monthly payroll including but not limited to: Mange the development of payroll system reporting of by department, region and programme Manage the payroll officer Manage the flow of accurate payroll information to HMRC/ pension and other bodies Develop and maintain links between payroll/ Netsuite and Adaptive systems Assist with ad-hoc requests from management Manage monthly input of payroll data in line with key processing timeframes Ensure accuracy of payroll reports checking: Hours of work for employees that work variable work patterns Accuracy of tax, pension and national insurance payments Holiday, sick and maternity pay and expenses via payroll Payment of any TOIL payments and pay increases Ensure the efficient processing employees' personal information changes such as address changes, name changes etc. Responding to staff payroll queries in a timely manner and promptly investigate and resolve employee payroll issues Monitor/respond to the Payroll Support email box for issues on attendance, paid time off usage and accruals, payroll and/or tax queries, policy questions, and resolves or routes appropriately Maintain secure Payroll records and files as they relate to transaction/payroll processing Onboarding & Leaver Support Liaise with the HR team in relation to the appointment of new joiners and leavers (as required) Relationship Management To establish and maintain good internal working relationships with all internal HR team and Finance to ensure timely and accurate payroll delivery. Manage relationship with external advisors eg pension providers Develop and ensure compliance with payroll KPIs and internal SLA Introduce payroll ticketing system to manage payroll queries Compliance & Audit Check and approve the monthly payroll and authorise payments to the bank to ensure 100% accuracy Liaise with the external payroll company regarding system updates Manage initial audit of all current employee records and investigate/resolve any discrepancies Maintain confidentiality of all HR records PERSON SPECIFICATION Essential: Skill Competencies: Demonstrated experience managing a payroll process for c.1000+ employees Advanced MS Excel Skills Strong knowledge of Payroll systems and ability to develop these systems to prepare robust and comprehensive Payroll data analysis and reports Experience with payroll system implementation, management and development Managing a payroll team Proven ability to deliver pragmatic and balanced advice with respect to pay related queries Solid knowledge of employment legislation specifically with respect to data protection and terms of employment and payroll. Proven capabilities dealing with confidential and sensitive information.
