The Sales Administrator / Inventory & Stock Coordinator role:

Reporting into the General Manager, the role of the Sales & Supply Administrator will be to assist in providing a comprehensive administration service to the company, to include:

+ Order Processing and Invoicing
+ Purchase Order Processing
+ Stock Control
+ Producing Month End Reports
+ Management Reporting

The role will suit individuals currently working as a Customer Service Executive, Sales Administrator, Sales Coordinator, Supply Chain Administrator or Export Administrator and be living within a commutable distance of Basingstoke.

In More Detail:

Order Processing & Invoicing:


+ Receive, monitor and process customer orders, using SAP. To include processing orders received on EDI and processing orders manually
+ Maintain selling price database and check orders thoroughly to ensure products are sold at correct prices
+ Communicate with suppliers, warehouses and customers, to ensure customer’s requirements are met
+ Generate invoices and distribute to customers and also manual invoices for special services
+ Monitor Proof of Deliveries and take action on any incomplete orders
+ Generate any Credit or Debit notes

Stock Control:

+ Attend annual meetings with warehouse personnel or as requested
+ Maintain stock control on NAV, corresponding with all warehouses on weekly basis to ensure systems are accurate
+ Investigate any stock discrepancies and request physical stock counts on any products whereby there is difficulty in reconciling a discrepancy
+ Produce stock reports when necessary for both customers and internally
+ Identify possible stock problems (low/high stocks)

Computer Operations:

+ Support Manager with month end procedures, producing the month-end reports and ensuring personnel receive relevant reports
+ System housekeeping

Management Reporting:

+ Support Manager when required with weekly Management reports on turnover
+ Monitor and reporting on out of stocks and failed deliveries
+ Purchase of orders for products and services
+ Communicate with production companies
+ Co-ordinate production queries with Product Managers
+ Stock intakes and relate invoices/receipts
+ Investigate stock discrepancies
+ Freight cost/warehouse cost invoice approval
+ To support Manager when required with month end reports
+ Database of selling prices

Sales Administrator / Inventory & Stock Coordinator Requirements:

+ Sales processing and supply chain experience
+ Methodical, numerate and accurate
+ Ability to prioritise workload according to urgency and follow set procedures
+ Good communication skills
+ Good knowledge of database systems
+ Team player
+ Experienced with Word & Excel
+ SAP knowledge (preferable)
