  • Arranging call outs for my clients Engineers, coordinate and book in with clients.
  • Booking in all my clients Engineers service visits, coordinate and book in with clients.
  • Instructing accounts dept to invoice on completion of work with all relevant information attached to jobs with detailed notes.
  • Keep check on engineer's trackers on daily basis and report any poor time keeping to the operations manager.
  • Trackers to be checked for weekend works on a Monday. Any major discrepancies with hours booked to be reported to the Operations Manager.
  • Ensure engineers time sheets are correct on a weekly basis and email accounts department confirming they have been checked and are correct. Any discrepancies to be checked with Operations manager before signing over to accounts department.
  • Ensure that all relevant report sheets and tasks are completed on engineer's service visits. If the requested information is not obtained report this to contract supervisor or compliance manager ( however requested the information)
  • Ensure that all Fan coil service sheets/ Air conditioning service sheets and emergency lighting sheets are sent into the office following weekend works. If they have not been provided within 5 working days report this to the relevant supervisor. Overtime will not be paid until the reports are received.
  • Organise Call out rota and issue to all engineers.
  • Coordinate the Contracts Supervisors for booking in overtime for my clients engineers ensuring that all out of hour statuary services are complete and up to date. Leasing with the compliance department and contract supervisors through this process.
  • Up keep of Vehicles, arranging services visits
  • Arranging sign writing on newly purchased vehicles.
  • Paying dart charge and Con Charge if hire vehicles are being used.
  • Keep up to date sickness records for all members of staff.
  • Arranging annual leave. If more than 2 employees in each department request annual leave for the same period consult with Operations manager for approval.
  • Organising Skip, Photocopier, taking copy of back up tape and ordering cleaning products and tea, coffee and Milk.
  • Office First Aider.
  • Ordering Materials for my clients Quoted Works.
  • Ordering Consumables and lamps on maintenance jobs.
  • Providing PO to sub-contractor and book in visits for quoted works.
  • Ensure all sub-contractor reports are saved on Protean following call outs.
  • Request quote from sub-contractors if additional works are required following call outs.
  • Send my clients engineer work sheets to contract supervisors if additional works are required.
  • Assist on providing sub-contractor quotes when requested by contract supervisors. Quotes to be checked by supervisor before sending.
  • Ensure that all my clients Engineers statuary sheets are saved onto Dashboard.
  • Updating the planner board and email to all supervisors and Operations manager nightly.
  • Ensure Protean client contact details are current (i. update RFM's / address books etc.)
