We are seeking a suitably qualified Purchasing Administrator to join the supply chain team of our privately owned and successful client. As the Purchasing Assistant your main duties will be to administer, collate and record all information for the Purchasing Department and act as the primary contact for the “New Supplier Set up Process”.

You will be responsible for data input activities for the Procurement Manager, and other departments, ensuring that the ERP system (Syspro) is regularly updated with the latest delivery information.

As the Purchasing Administrator you will be required to raise purchase orders and help with purchasing administration.

Key Purchase Administrator Responsibilities:

  • Review supplier register to ensure all key suppliers details are regularly updated and all relevant documents have been signed and returned
  • Process purchase orders and report on supply issues to the Procurement Manager
  • Take responsibility for signing and chasing non-stock orders
  • Check pro forma invoices and obtain approval signature from relevant department
  • Check all Goods Received Notes for accuracy and full supply, enter onto database and ensure CofC's are received and confirmed to the Quality Department
  • Act of point of contact for accounts department on supplier invoice queries. Ensure GRN's are kept filed in date order to aid accounts checking each month
  • Liaise with other departments – Stores and Logistics
  • Amend dates on PO's as necessary
  • Check GRN's and contact suppliers with missed or short deliveries
  • Chase suppliers to ensure stated delivery dates are adhered to
  • Control stationery and liaise with reception to ensure both office locations have required stationery in stock, source best supplier of stationery and raise relevant purchase orders
  • Maintain REACH register, together with safety data sheets, ensuring the latest COSHH data sheets are supplied in the business by reviewing six monthly to ensure compliancy

 

Personal Specification Purchase Assistant:

  • Good standard of GCSE's or equivalent
  • Excellent telephone manner
  • Good team player
  • Excellent communication and organisational skills
  • Competent computer skills in Excel, Word, Outlook
  • Knowledge of ERP systems would be an advantage
