We are seeking a Band 3 admin assistant to work within the NHS -

Key result areas -

" Provide a comprehensive, efficient administrative service to North of England Commissioning Support as part of the Corporate Administration Service.
" Maintain realistic and manageable diaries.
" Manage senior manager's diaries in a pro-active and efficient manner, based on all information from emails, meeting requests and travel itineraries.
" Arrange meetings and set up any rooms/equipment required.
" Manage incoming communications (email, post, telephone) and highlight / prioritise key points for follow-up / action and diary management.
" Develop and maintain office systems to ensure the efficient collation, storage and retrieval of information (e badges).
" Order supplies using an electronic ordering system (Oracle) maintaining accurate records.
" Ensure resource areas have adequate stock at all times.
" Assist in the production of reports, presentations, spreadsheets etc.
" Provide a high quality typing and word processing service, producing correspondence, reports and other documents as required, including work of a confidential nature.
" To arrange and attend meetings/events to accurately record and minute proceedings/decisions.
" Produce information packs/collation of papers for meetings/events, ensuring timely distribution and any follow-up of actions.
" Provide reception cover for lunch times, sickness and any other leave.
" Deputise for Personal Assistants/Committee Administrator when required.
" Work flexibly across teams and potentially in other bases.
" Carry out any duties as agreed with the Corporate Administration Manager (in conjunction with Personal Assistants), commensurate with the grade of the post.
" Have the ability to travel independently.
" Maintain the strictest level of confidentiality at all times.
" Be conversant and comply with the organisations policies and procedures.
" Have the ability to concentrate within a busy office environment where work patterns are often unpredictable with frequent distractions.
" Have the ability to receive process and or provide sensitive / confidential information which requires a high level of tact.
