Since the launch of Girls Not Brides: The Global Partnership to End Child Marriage in 2011, the partnership has grown to over 900 members in more than 95 countries worldwide. These civil society organisations work at different levels and come to the issue from different perspectives, but are all united by our common commitment to ending child marriage and enabling girls to fulfil their potential.

The work of the Partnership is supported by a global secretariat with staff based in the UK and individual team members based in Dakar, Delhi and Nairobi. The secretariat team has grown rapidly and its work has become increasingly complex. We are therefore looking for an Operations Manager who can take on the challenge of ensuring that the secretariat team is high-functioning, well-coordinated and supported in their work.

Based in the Operations Team in London and working closely with the Executive Team, this person will:

  • Lead the organisation's human resources and development of an effective and collaborative team culture
  • Ensure the smooth running of the office, including overseeing internal systems and services
  • Coordinate full-team planning and reporting
  • Coordinate select operational initiatives

Accountability: to the Deputy Executive Director

Salary range: GBP42,000-GBP62,000, depending upon experience, plus a generous benefits package

Main duties and responsibilities

Human Resources

  • Provides ongoing Human Resources support to the whole team
  • Proactively addresses any human resources concerns of the team, in cooperation with the management team
  • Develops and updates personnel-related policies and procedures, and revises the team handbook
  • Assists line mangers to understand and implement policies and procedures
  • Oversees the annual performance review process, assists in resolving any Human Resources issues, and ensures follow-up actions are taken forward
  • Conducts HR in-person pulse checks and confidential staff survey annually and reports finding to the Executive team, the Board of Trustees and the team
  • Working closely with hiring managers and team heads, manages all stages of the recruitment and induction process, including developing job descriptions and person specifications, preparing job advertisements, and overseeing shortlisting, interviewing, selection and hiring of candidates
  • Conducts bi-annual market salary review and provides advice at the time of the salary package review
  • Maintains up-to-date employee records
  • Oversees Girls Not Brides' compliance with the data protection requirements
  • Reviews and maintains the Health and Safety Policy and oversees annual health and safety checks
  • Oversees and advises on all team training and individual professional development
  • Develops HR planning strategies, which consider immediate and long-term staff requirements

Operations

  • Manages the Operations Assistant and provides back up to colleagues in Operations and Finance as required
  • Determines any outsourcing of services, as required, and oversees contracts with service providers and external consultants
  • Oversees the development and ongoing use of tools and systems that enable the team to work efficiently, including integrating and strengthening systems for strategic planning, work programme management and monitoring, information technology, office database, events management, human resources management, safety and security, and general office services
  • Helps ensure that team members based remotely are integrated with the London team, supported in their work, and have adequate office space and services
  • Assists with office relocation coordination as required

Team coordination

  • Working closely with the Executive team and Management team, coordinates all-team planning, monitoring and evaluation, and reporting
  • Working with the Executive team, explores, 'incubates' and coordinates the start-up of operational initiatives that involve inputs from all teams
  • Ensures operational support is provided to the preparation of Girls Not Brides' major events, meetings and international trips
  • Supports internal team cohesiveness and cooperation, and fosters the involvement of all team members in delivering on the Girls Not Brides' Strategy and secretariat priorities

Requirements

  • Significant experience in human resources management, preferably with specific training or qualification
  • Advanced knowledge of employment policies and procedures and employment legislation in the UK
  • Proven experience in organisational-wide planning, coordination and/or project management, particularly working with diverse teams based in different locations
  • Experience in managing individuals, work systems and external relations, including consultancy contracts and external service providers and suppliers
  • Strong interest in and fluency with applying new technologies to teamwork; excellent IT problem-solving skills
  • Initiative-taking and initiative-making - the vision, creativity and practical skills to address a problem, take an idea forward and mobilise action
  • Proven ability to empower and inspire others in personnel management; good understanding and direct experience of best practice, including performance management
  • Experience in monitoring and evaluation is desirable
  • Ability to deal with competing demands, multiple priorities, time constraints and unanticipated external events
  • Proficiency in recent versions of Microsoft Office suite, knowledge of Salesforce and Basecamp desirable
  • Excellent written and spoken English, including conceptualising, writing and editing documents; an eye for detail and accuracy in reviewing the work of others
