Project Administrator (support) / Admin Assistant

Location: Beverley, East Riding of Yorkshire

Salary: £9.00 to £10.50 per hour, dependent on experience

Hours: 37 hours per week, Monday to Friday

Appointment Type: Full Time

 

Job Description

We are looking to recruit an experienced, enthusiastic individual to carry out general technical support and administration services to assist in the delivery of engineering projects for a Civil Engineering Consultant based in Beverley, East Riding of Yorkshire.  The systems, qualifications and experience indicate what items are essential for the post and those that are desirable but not necessary for the post.

 

Duties

  • Minute taking, producing agendas, previous minutes and collating progress reports for ongoing projects.
  • Booking meeting rooms/venue hire, issue/monitor invites/responses and organise refreshments for functions
  • Assist in organising public exhibitions/seminars.
  • Input of data on a bespoke engineering database (training given).
  • Electronic filing in appropriate folders using Windows Explorer and Lotus Notes software for emails.
  • Organise vehicle hire and relevant insurance forms
  • Ordering and invoicing of supplies and training courses
  • Answering team phones and taking messages
  • Scanning, photocopying, printing and binding documents and drawings
  • Creating and updating documents using MS Word mail merge and standard templates
  • Creating and updating excel spreadsheets from data provided
  • Performing letter drops on site, assist with site surveys and creating reports on results
  • Meeting and greeting visitors and contractors from reception
  • Any other general office duties as requested

 

Systems

  • Microsoft Office Word, Excel – Essential
  • Lotus Notes (Calendar, Mail, Contacts) – Desirable
  • Microsoft Office PowerPoint – Desirable
  • AutoCAD – Desirable
  • ArcGIS – Desirable
  • Adobe Illustrator and Photoshop – Desirable

 

Qualifications

  • GCSE or NVQ level English – Essential
  • Keyboard skills qualification (RSA1 or above / NVQ equivalent) – Essential
  • NVQ Business Admin, level 2 – Desirable
  • NVQ Business Admin, level 3 and above – Desirable
  • Good general education – Desirable

 

Experience

  • Previous Office Administration or Project Support – Essential
  • Minute taking and producing draft and final minutes – Essential
  • Previous experience working in Local Government – Desirable
  • Customer service experience – Desirable
