Membership Assistant
Reporting to: Membership Manager
No staff reports

The RPS is looking for a Membership Assistant to provide administrative support to the membership
department.

This is a busy customer service focused role which requires strong organizational and administrative skills. Good written and verbal skills are also required for responding to member queries by phone and email and promoting membership/membership benefits over the phone and in person at key events.

Main responsibilities

  • Process membership applications
  • Process renewal payments
  • Set up direct debit payments
  • Create, update and maintain membership records on the database
  • Liaise with telephone campaign providers and reinstate memberships
  • Courtesy calls to new members
  • Update members contact details on the database
  • Respond to telephone and email enquiries
  • Coordinate incoming post
  • Send data to volunteers
  • Mail membership packs and other items
  • Process refund requests
  • Attend events to promote membership (approx. 6 per year) *
  • Respond to voicemails
  • Action returned mail
  • Maintain stock details of membership collateral
  • Any additional tasks as required by the membership manager
  • *May require overnight stay
  • Skills/Experience required
  • Experience of working in a customer focused environment, dealing with enquiries with tact and
  • diplomacy
  • A good knowledge of working with IT systems including Excel, Word and Outlook
  • Experience of working with CRM database preferable but not essential
  • Experience of working effectively in a small team
  • Strong written and verbal skills
  • Experience of giving accurate advice via telephone, email and in person.
  • Able to confidently and effectively contribute to team/Dept. meetings
  • Ability to prioritise and work to deadlines with good personal, organisational and time
  • management skills
  • Well organized and able to follow work routines
  • Good team worker, flexible and adaptable
  • An interest in photography is preferable but not essential
  • Empathy with the aims of The Royal Photographic Society

Terms
Responsible to: Membership Manager
Salary: £20,774.08

Probationary period: 3 months

Period of contract: The post is offered as a full-time contract, subject to successful completion of the
probationary period.

Leave: 20 days, annually, rising to 25 days, plus statutory bank holidays

Location: Fenton House, 122 Wells Road, Bath, BA2 3AH. The office is fully accessible to wheelchair
users. The Society is likely to be moving to Bristol in late 2018
Hours: Five days/week, 35 hours/week excluding breaks. Normal office hours are 9am-5pm.
Occasional evening and weekend working may be required.
The Society has a stakeholder pension scheme with The People’s Pension.
Starting date: Monday 16 th of April or as agreed.
