Purpose

We are looking for a Senior Administrator (Central Print Support) who will primarily be assisting with the printing and enveloping of outgoing letters on a rotational basis alongside the existing administrators, assist with the recording of daily statistics and complete various daily spot checks and ensuring that all tasks are completed on a daily basis. Support the Central Services Manager with the implementation of any updates, providing clear communication to the team and escalating relevant issues to GR43 Management or IT support.

Our Central Print team print letters in Bristol that have been produced at offices in various locations, envelope them using enveloping machines and ensure they are ready for collection at the end of each day by Royal Mail or other delivery businesses.

Hours:

35 hour week, 7 hours a day Monday – Friday, currently on a weekly rotation shift basis between the hours of 7am to 7pm although 6am-8pm if there is business requirement. The successful candidate will be required to work Bank Holidays on a rotational basis (excluding Christmas Day, Boxing Day and Easter Sunday)

Duties and Responsibilities

  • To demonstrate a full understanding of all tasks and systems used in Central Print
  • To ensure Service Level Agreements are met and to ensure all administration tasks are processed on a daily basis as per the work list and in line with SLAs for all Central Print duties
  • Oversee day to day running of the Central Print roles being carried out to a satisfactory level and adhering to the shifts assigned
  • Record, monitor volumes and provide management with this information
  • To assist with the printing and enveloping of outgoing letters and provide support to the team
  • Feedback any concerns and praise to department management
  • Assist with implementation of constant improvement and changes to the department
  • To deal with telephone queries and email queries
  • To carry out daily checking of work and records being completed
  • Discuss any concerns to the GR43 management
  • Highlight/Make GR43 management aware of positive working/feedback received in the Central Print team
  • To ensure all new starters and Central Service Assistants have relevant training and make them aware of Central print relevant updates
  • Assist with giving Central print updates to the overall GR43 team in huddles 
  • To escalate mechanical/system problems to GR43  Management where necessary
  • To provide input for forthcoming appraisals
  •  Any tasks relevant to your level as instructed by GR43 Management

Any other duties as required.

Skills/Competencies required

The successful candidate will have previous supervisory experience and be able to communicate well and at all levels of seniority and with those we provide the service for. You will also have good attention to detail and practical and organisational skills to ensure daily mail printing and despatch times are met.
