Job Title: Office Administrator
Hours of Work: 9am – 5.30pm, Monday to Friday
Overview
Working within a face paced recruitment business, supporting senior consultants/researchers with all aspects of their secretarial, administration and candidate coordination This is a young and lively team environment where excellent client service is paramount.
The Role
In this role you will work closely with and provide support to the team to deliver retained global mandates
Reception duties, including answering incoming calls, scheduling appointments and dealing with queries
Follow up on phone calls and contacts as appropriate
Preparation of documents – CV’s, proposals, Briefs, Candidate Reports and Status Reports and biography writing
Answer general emails and postal correspondence with clients, candidates and suppliers
Book meeting rooms
File and archive accurate records
Binding and Photocopying
Organise and audit the company's systems, databases and procedures
Provide full administrative support for the consumer practise
Data Entry – inputting of critical information using the company database
Qualification of data – ensure weekly status reports are up to date
Skills/Experience;
Prior Office Management experience preferred but not essential; proficiency in Microsoft Office; good communication skills, both verbal and written; exceptional organisation skills; professional telephone manner; appropriate mathematical skills; ability to maintain strict confidentiality; ability to prioritize effectively with exceptional attention to detail; ability to work well under pressure; excellent time management skills; excellent and accurate data entry skills; reliable and dependable.
The Candidate
A confident, flexible and proficient candidate with a lively approach and a strong professional work ethic. Someone who enjoys a particularly busy workload, works off their own initiative but can also work well as part of a team.
The right candidate will not be phased by juggling an extremely busy workload and have the ability to prioritise and meet tight deadlines in what can be a pressurised environment at times.
Must be able to work as part of a team. Must also be able to work closely with counterparts in the Leeds and London offices.
