I am recruiting for an experienced Team Secretary to join one the largest Law Firms within the UK, based in South Yorkshire.
Their aim is to provide a consistent and professional approach to Business Support, by delivering secretarial and design services expertise and value to our clients.
The Business Support Team is recognised as being the leader in terms of administration and support to the whole firm.
The ideal candidate needs to be able professional, well polished, confident as you will be front of house meet and greet of their Stakeholders and Partners visiting their site office.
You also need to have excellent organisation skills, pro-active, passionate, enthusiastic, who is willing to learn and a quick thinker and has the ability to work alone.
Full Diary and inbox management as required
Drafting replies to incoming correspondence
Attending meetings and taking minutes
Meeting and greeting clients
Carrying out research for client meetings
Collecting and managing incoming posts
Booking travel and accommodation, and compiling detailed itineraries
Advocating the use of internal venues and fine dining
Booking meeting rooms, equipment and catering (including virtual meetings - Halo/WebEx/Net Meetings)
Organising events where appropriate
Organising internal and external meetings/conferences/functions in person, a Video Conference, WebEx and Halo
Taking messages and dealing with queries
Inputting expense claims
Updating our Client Relationship Management system (CRM)
Copy and audio typing
PowerPoint production
Liaising with create graphic services for client documents
Producing Excel spreadsheets
Liaising with document production
Ordering IT equipment
Providing IT access
Submitting IT requests (creating distribution lists, folders etc)
Creating bills and reports in our finance system, SAP
Visa applications
AMEX applications
Ordering audio Conferencing details
Ordering business cards
Arranging couriers
Maintaining Filesite/Document Management System (DMS)
Photocopying
Archiving
Booking desks
Booking parking
Any other ad-hoc duties as directed
Liaising with the Central Team to aid with task delivery
Benefits:
Attractive Salary: £ £19,000 - £24,000 (Depending on experience)
Hours of work: Monday - Friday -09:00 am - 17:00 pm
25 days holiday + Birthday off
