Spring Technology is currently recruiting a experienced HR Coordinator with proven experience using SAP. We are recruiting this opportunity on behalf of our large corporate energy and trading client based.

Role overview:
Provide HR administrative support for the Human Resources function

On-Boarding

*Manage the Starters and Leavers process for local Interns and VIE of all entities: GP, RFCS and TWP EC
*Assist with some aspects of the starters process for expatriate employees
*Preparation of contracts of employment and offer packs
*Manage the employee's record on SAP HR: starters, leavers and changes (SAP input)
*Arrange and facilitate 1:1 HR induction sessions with new local employees, interns and Vies
*Coordinate the immigration process for local employees, expats, seconders or trainees depending on business requirements
*Booking of temporary accommodation and processes of related invoices
*Update of the JD library (through excel or HR)
*Administer the CRAB (Criminal Background check) where applicable
*Administer the holiday management system (currently paper based holiday cards)

HR Administration
*Preparation of contractual change letter
*Administration of reference requests - ex employees and new hires plus ad hock employment references as necessary
*Typing and formatting of general correspondence
*Maintenance of HR electronic and paper filing systems to ensure that documentation is easily accessible and current
*Provision of guidance to line managers and staff on aspects of HR policy and procedures within well established guidelines
*Preparation of monthly payroll updates (SAP and manual) ensuring that the Payroll Coordinator is fully informed of staff movements and salary changes in line with the monthly deadline.
*Administration of ad hock HR project work as directed by HR Business Partners or Head of HR
*Process all HR-related invoices and payment requests to enable timely payment by Finance.
*Administration of the Overtime forms and on-call allowances for all entities

Compensation & Benefits Administration

*Administration of Employee Benefits package including company cars, share plan, health care schemes and SAC for expats and locals
*Administration of SAP audit on an annual basis
*Co-ordination of information for Pensions Department
*Produce transactions SAP HR reports to administer the benefits package with dedicated supplier
*Processing of accommodation allowance for VIE
*Share scheme administration for expats and local: letter generation and tax certificates where appropriate
*Salary Review letters administration

Recruitment Coordination -

*Coordinate the recruitment process for all vacancies: interns, FTC, Permanent roles: raising requisitions and ensure the appropriate authorisation level has been granted, ensure job adverts are posted in a timely manner using the appropriate media, screen CBS, liaise with recruitment agencies.
*Manage the administration of the vacancy from beginning to end to ensure the ATS is updated in a timely manner. Support line managers and external providers with the use of Careers 2.
*Responsible for setting up all new agencies to gain access to Career's and to ensure any training and support is given to new agencies throughout the process.
*To liaise with new/old agency's to ensure they have full knowledge of benefit packages.
Act as first point of contact for all recruitment queries, escalating to the HR Advisor when appropriate.

To be considered for this opportunity you must have the following:
*Experience of using SAP HR as a HR IS including the use of the reporting functionalists.
*A proven general administrative experience including at least 3 years HR administration experience.
*Solid knowledge and understanding of employment legislation
*Excellent computer skills, especially with Word and Excel.
*A proven ability to handle and manipulate HR data and reporting.
*Excellent interpersonal skills as well as proven abilities to communicate at all levels within the organisation
*Excellent organisational and administrative abilities, including time management, prioritisation and working under pressure.
*The role holder must be able to work as a team as well as autonomously
