Oxford Genetics’ is a young and progressive biotechnology company focused on providing DNA based products and services to a global client base. As part of its expansion, the company is looking to hire a Team Administrative Assistant to help with running the administrative side of the business. We are looking for someone who is organised, self-motivated, proactive and willing to use and work on their own initiative.
The Role:
The role includes but is not limited to:
Human Resources Administration
• Maintaining human resources Excel database, electronic file management and documentation on our company system Neuron
• Checking, scanning, filing and chasing human resources documentation
• Assisting with updating the company website and social media with jobs and human resources related content
Purchasing and Shipping Administration
• Assisting with processing of orders through the company’s website and ordering of supplies and materials for the company
• Assisting with processing and monitoring shipments
• Assisting with requesting quotations and setting up new supplier accounts
General Administration
• Arranging travel, hotels, car parking and meetings, taking minutes when necessary
• Providing cover for reception and weekly financial reporting during holidays and busy periods
• Filing, shredding and assisting with customer enquiries
Carrying out any other duties commensurate with the grading of the post, as required
The Person, Skills and Experience:
Essential:
• A minimum of 2 years previous experience of working in an administrative office environment
• Experience of working with confidential and sensitive matters with a high level of tact and discretion
• Able to work methodically with an excellent level of attention to detail
• IT skills including a proficiency in Microsoft Word, Excel, Outlook, PowerPoint and typing
• A high level of flexibility and teamworking in the changing environment of an expanding company with a desire to develop and grow within the role and organisation
• Excellent oral and written English communication skills with the ability to communicate information
• Experience of working in a customer facing role with a professional and helpful manner both face to face and on the telephone
Desirable:
• Previous experience in Human Resources administration, recruitment or payroll
• Educated to degree level or equivalent
• Intermediate to advanced IT skills in Microsoft Excel and Outlook
• Experience with uploading and maintaining website / internet content
• Data Protection Act knowledge
• Experience of purchasing experience and liaison with suppliers
• Experience of managing administrative processes and continuous improvements
• Excellent time management skills and the ability to prioritise deadlines
This is a permanent full-time post with a salary in the range of £20,000-£25,000, depending on experience.
