Here at EY we are looking for an experienced and enthusiastic coordinator to join our busy service centre in Birmingham City Centre. You will be responsible for efficient and effective processing of HR post offer administration for graduate, industrial placement, summer internship and school leaver programme recruitment and some selection activities.

Please note that this will be a 12 month fixed term contract.

Your key responsibilities

  • Produce, check and send offer letters within 24 hours KPI.
  • Process the return of joiner documents inputting into central database key joiner information (personal details, bank details, National Insurance details, Emergency contacts, academic details). Chase for documentation where appropriate.
  • Manage the administration for all post offer activities.
  • Manage the reference process for all new joiners including obtaining and seeking reference requests, chasing regularly to ensure obtained prior to commencement.
  • Manage the medical process for all new joiners including obtaining medical information, liaising with an external provider to ensure appropriate recommendations can be made for those requiring further medical history.
  • Point of contact for candidates and prospective joiners regarding administration details, return of paperwork, etc. Support applicants with enquiries and respond to calls and emails relating to the Graduate recruitment process.
  • Produce weekly reports for Student Recruitment and Exams Training populating the Graduate Reports Database.
  • Use internal databases and relationships with IT to ensure a successful IT set up.
  • Issue new starter information including welcome emails, induction information and escalating non-compliance appropriately.
  • Update GHRS, Taleo and Recruitment Tracker systems and spreadsheets to ensure data integrity.
  • Action housekeeping reports eg, GHRS, SALJN, OGS and audit reports.

Skills and attributes for success

  • Deliver a smooth on-boarding experience for all candidates joining the firm by coordinating all aspects of the post offer processes.
  • Process payroll changes, and reduce risk around payroll processes by reviewing and checking transactions identified on interface reports from the Payroll provider in a timely way, engaging the Payroll & Benefits team appropriately.
  • Provide a positive recruitment experience for all candidates that apply for a graduate, undergraduate or schools position.
  • Deliver excellent service in line with the firm's recruitment requirements and ensure service level agreements are met in line with HRSSC standards.
  • Process all administration relating to the offer of employment process, including offer letters, joining instructions, referencing, welcome induction and updating PeopleSoft, Taleo and other systems.
  • Process the on-boarding of international hires, including issuing of business immigration questionnaires.
  • Deliver excellent service in line with our recruitment requirements and ensure service level agreements and recruitment targets are met consistently.
  • Anticipate and respond to queries from applicants and referrals from EY Help conducting further analysis if appropriate.
  • Produce regular reports to communicate progress and status for Student Recruitment.
  • Flexibly support other team members in response to work volumes eg answering queries from applicants in the peak marketing and milkround season; supporting both the pre-offer and post-offer processes; supporting other HRSSC teams.
  • Identify and contribute to process improvements and ways to optimise technology to benefit the business.
  • Keep up to date with changes to EY HR policy and process. Ensure compliance with the Data Protection Act.
  • Contribute to wider HRSSC, UK&I and HR projects.
  • Commit to own personal development and ensure knowledge and skills are always up to date.

To qualify for the role you must have:

  • Administration experience, ideally within a service delivery team environment.
  • Strong attention to detail and accuracy.
  • Strong customer service skills and telephone manner.
  • Ability to work on a number of different tasks to agreed timescales.
  • Able to manage high volumes.
  • Qualified to GCSE level or equivalent.
