The Credit and Commercial Assistant will assist the smooth running of the Group Credit Control and Commercial Function with a flexible work attitude and excellent attention to detail, keep accurate updated records and inputting correct information on request, processing invoices and month end processes, maintaining and updating Assets purchased by the company for customers and preparing and assisting in increasing the customer’s credit facilities and terms and answering any questions regarding the increases.

Key responsibilities of the Credit and Commercial Assistant:

- Responsibility for writing all equipment agreements, with a 3 day turn-around time, and emailing to the Area Sales Managers/Sales Manager’s where applicable.

- Reconcile Asset Nominal to ensure this balance’s by month end.

- Open asset accounts on sales ledger and raise invoices/credit for fridges to the ledgers.

- Request signed contracts from Depots/Account Managers for all assets purchased as per the Asset rules set by HOCC and HOC.

- Prepare and review all Credit Limit increases for signature by Manager’s with a 3 day turn-around time.  Once signed, email to relevant Credit Controller and increase accordingly on Trinity where applicable the terms and limits that have been agreed.

- Understand Creditsafe reports and pass adverse information to HOCC.

- Follow the Company Credit Control Policy.

- Keep accurate records on Credit Increases and Asset Agreements.  Any declined increases or agreements need to be recorded for later review by Managers.

- Keep spreadsheets with Fridge Agreements created and Increases processed.

- Set up new accounts on trinity via GUI.

- Review on a weekly basis, the write offs for assets, sale performance of customers with assets, and escalate according in the business.

- Review on a two weekly basis with Credit Manager the performance of Fridges and escalate any issues involved in the day to day running.

- Set up and delete write off for assets where applicable.

- Build good relationships with Internal Customers and Managers and have the ability to communicate clearly with them. To be aware of different types risk to the company in regards to credit and asset management.

- Responsible for coding month end invoices and pass to Purchase Ledger.

- Clear any outstanding and pending issues relating to Credit Increases and Asset in the inboxes.

- Release orders through HOCC with input from Credit Manager

- Have full responsibility for the Equiment email address and clear and file.

- Help with any routine administration tasks.

Key skills required by the Credit and Commercial Assistant:

- Excellent attention to detail and accurate record keeping.

- Flexible work approach, and the ability to work to tight deadlines and under pressure.

- Keep accurate records and good numerical skills

- Understand processes and where this fits within the businesses needs

- Ability to read Credit Reports/Balance Sheets/Land Reg Reports/Consumer reports

- Understand and reconcile Nominal Codes

- Intermediate/Advanced Microsoft Excel for spreadsheets and records.

- Use ‘Trinity/Gui’, Quote and Diver systems

- Good team work skills.

- Good time management and communication skills.

- The ability to work under pressure/prioritise own workload.

- The ability to escalate problems/issues and request assistance from Managers and Internal customers to achieve results.
