VAG (VW) Administrator - Automotive Logistics Leader

Based at our Sheerness Depot, the VAG Administrator is responsible for the effective administration and support of all VAG operational activity.

Reporting to the Regional Manager, the post holder’s key responsibilities will be, but not limited to: 
 

Customer Service:

  • The co-ordination of Customer phone calls and responding accordingly, and in a timely manner to Customer enquiries
  • To liaise with both the handling company and the customer to ensure the smooth flow of information
  • Maintenance of the Customer service data bases
  • Liaise with the Allocation Team to give accurate vehicles E.T.As and update the Vision system accordingly
  • Liaising with the Third Party Plating Company to ensure timed delivery of cars to the Customer are completed

Damage: 
Ensure that any damage identified by the Vehicle Inspectors is recorded accurately and in a timely manner on the Vision system. 

Driver Paperwork: 
To assist in the timely production of paperwork for inbound Drivers.

General Office Duties:

+ To ensure all deliveries are confirmed in a timely manner.
+ To ensure a control of stock of depot consumables in maintained.
+ To assist in managing the PPE process, to ensure that all Drivers have the correct uniform that is fit for purpose and presentable.
+ General office and administration duties. 
+ To provide cover for colleagues during planned and unplanned absence to ensure that certain time critical tasks are carried out. 

Person Specification:
The ideal candidate will possess: 

  • A minimum of 5 GCSEs (or equivalent / relevant qualification) grade A to C, including English and Maths. 
  • Proficient user of Excel and Microsoft Office applications such as Word is essential.
  • A recognised administration qualification would be desirable.
  • Previous experience in a similar administration role working within the transport and distribution industry would be advantageous. 
  • Excellent communication skills and experience of dealing with external and internal suppliers & customers.
