Brook Street is delighted to present the opportunity to work as a Data Coordinator for a leading global provider of facility services. The Data Coordinator is a direct report to the Data Manager who is responsible for ensuring that the National Service Centre (NSC) operations, systems and data within all CMS systems are maintained effectively, delivering an optimum customer service experience for all users. You will be required to support the team to ensure all the data complies with legal regulations and building engineering standards, monitoring data entry procedures. You will be required to operate under the Data Manager, communicating effectively, proactively managing your workload effectively, providing system support and managing system updates.

Key Responsibilities:

  • Full configuration of system settings, data and processes to meet the NSC Team requirements, customer and client demands, providing recommendations for implementing solutions to business problems.
  • Responsible for CMS specific configurations, testing, implementation and support of standard business applications used within the operation including MCS and all associated applications a variety of functions.
  • Improve the effectiveness of the database tools and services, monitoring database performance and reporting / escalating any impacting issues
  • Ensure all database information is protected and backed-up externally on a regular basis for business contingency purposes.
  • Manage system permissions, issuing passwords and ensuring all staff have correct access to the information management system
  • Conduct gap analysis for customer requirements versus existing solutions during transition and transformation activities
  • Provide support to the NSC team and customers with reporting/analysis of data relating to workorder/telephony activities
  • Provide training, guidance and advice for less experienced users globally
  • Act as the point of escalation for system faults and outages within the NSC
  • Assist in producing operating processes, CMS controlled documentation and work flow charts around the National Service Centre systems
  • Working in partnership with IT Technology and Operational Teams globally, providing experience and knowledge of the operations to provide input into the development of both new and existing contracts and applications to meet user requirements while adhering to business technology policy and best practice
  • Support the Data Manager with transition activities to mobilise new customers into the National Service Centre environment including data gathering and deployment plans in co-operation with Integrated Solutions, Project Management and Operational Teams.
  • Act as the point of liaison for all account users with system faults and issues
  • Monitoring SLA performance and reporting by exception of SLA failures

Candidate Requirements:

You will be educated to GCSE level in English and Maths as a minimum and A Level / Degree standard desirable. It is essential that you have a minimum of 3 years' experience in a similar data management role with experience of managing complex databases. Previous experience within an Engineering, Technical, or Facilities management / services administrative role is essential. Most importantly the candidate should have proven strong MS office skills, particularly Excel which must include advanced functions & formulas, statistical data analysis, dashboards & pivot tables, VBA & macros and other advanced functions.

Other useful experience would include:

  • Detailed working knowledge of Computerised Maintenance Management Systems
  • Have good experience of using, configuring and setting up CAFM Systems
  • Computer literate with a broad range of IT skills. This must include Word, Outlook with an advanced working knowledge of MS Excel. (Visio, Project, Access are all desirable)
  • Experience of delivering training and presentations to a wide audience of internal and external teams including the client.
