Event and Training Co-Ordinator


A permanent vacancy has become available in the Events Department for an Event and Training Coordinator

Reporting to the Events Manager, this position will cover duties such as:

Role Summary

  • Support the Events and Marketing team in the planning and delivery of a range of events

  • Support the Event Manager in the organising of Success Express events where necessary
  • To work all Success Express Events
  • Manage the portfolio of trainings from conception to completion.
  • Work on planning of trainings 6 months in advance
  • Ensure training promotion via marketing and track ticket sales
  • Build rapport with all hotels, supplies, caterers and distributors
  • Liaise with the Event Manager and stakeholders to ascertain precise event requirements
  • Coordinate venue management, caterers, contractors and equipment hire
  • Work with hotels directly to reduce room, parking and booking rates
  • Manage the training kits coming in and out to ensure they are always complete and ready to be used.
  • Organise packing and equipment for each event
  • Organise facilities for car parking, security, first aid
  • Organise the preparation of delegate packs and documents where relevant
  • Coordinate suppliers, handle FBOs queries and troubleshoot on the day of the event to ensure that all runs smoothly
  • Responsible for event registration on event days
  • Manage the online ticket system including event creation, data management and updates
  • Manage the ticket sales hotline and answer all event telephone and email queries via the call line and salesforce portal
  • Events administration (including, invoices, payments and refunds and general events administration)
  • Ensure maintenance of financial records
  • Manage stock levels of training workbooks/manuals
  • Coordinate print requirements when necessary to ensure workbooks/manuals are always in stock.
  • Co-ordinate couriers and deliveries to and from venues
  • Ensure post-training evaluation through survey’s and analysis
  • Support the department to produce general events marketing material and advertising (i.e. communication plan monitoring, providing copy, programmes, certificates, event and training guides, online communications and any other material)
  • Assist the Events and Incentives organiser in the creation of recognition materials and gifts
  • Attend team meetings and company events as required
  • Assist all team members to ensure all department responsibilities are fulfilled
  • Observe strict rules of confidentiality with information about FBOs and their Forever businesses
  • Any other reasonable duties required by the Event Manager and Events Team
