Job Title: Medical Receptionist/ Secretary
Place of Employment: Millbrook Surgery, Millbrook Gardens, Castle Cary. BA7 7EE
Purpose of Job:
To provide reception services to the patients and secretarial duties as required by the doctors.
Handle general enquiries orally and in writing; explain surgery procedures; make new telephone consultations and appointments; take new patient registrations.
In urgent cases call the emergency ambulance if the doctor is not immediately available.
Prepare repeat prescriptions and submit to the doctor via EPS for authorization.
Answer phone calls for the doctors, practice nurses and signpost accordingly.
Maintain patient records, both manually and using the EMIS system, and ensure they are available to the doctors and Practice Nurses when required.
Prepare referral letters using WP and processing through NHS e-referral system when required.
Scanning of letters, test results etc into patient’s computerized records. Importing into patient records electronic notifications from hospitals etc.
Handling of urine and other samples and passing to appropriate recipient.
Patient Registration: New and Temporary.
Open, stamp and distribute post.
Lock/unlock premises, switch on/off computers,
Leave reception desk tidy for incoming colleagues together with the messages i.e Unresolved or urgent problems.
Photocopying and faxing as required.
Other clerical/administrative/secretarial duties as required.
Note: If a patient call is deemed to be urgent and the doctor is not immediately contactable for any reason, you are required to advise the patient to ring 999 to request an ambulance. Examples of such a call are an unconscious patient, any person having a fit, any person with severe breathing problems, chest pains and person with moderate to severe burns or scalds.
The position is for (15) hours per week on a regular basis as follows:

Tuesday: 13.30 - 1830
Thursday: 13.30 - 1830
Friday: 08.30 – 13.30
Additionally, for approximately 28 weeks of the year you will work 5 – 10 hours per week to cover annual leave, sickness etc.
