Job title: OFFICE MANAGER Department: FINANCE Responsible to: FINANCE DIRECTOR Responsible for: INTERNS Job purpose: ASSISTING FINANCE DIRECTOR, SENIOR ACCOUNTS ASSOCIATE, ACCOUNTS ASSOCIATE & APPRENTICES IN ALL ADMINISTRATION FUNCTIONS FOR CLIENTS AND THE ACCOUNTS NAVIGATOR LIMITED Main duties: TO ENSURE SMOOTH OPERATIONS OF THE OFFICE RECEPTION DUTIES DEAL WITH ALL NEW CLIENT INFORMATION / ADMINISTRATION DOCUMENT FILING COMPANY SECRETARIAL WORK DEBT MANAGEMENT HMRC AND COMPANIES HOUSE COMMUNICATIONS MARKETING, ADVERTISING AND PROMOTIONS CLIENT SOURCING CLIENT NEWSLETTER SOCIAL MEDIA GENERAL ADMINISTRATION FOR OFFICE Additional duties: ADHOC DUTIES TO ENSURE SMOOTH RUNING OF COMPANY Main responsibilities: TO ENSURE SMOOTH OPERATIONS OF THE OFFICE - Opening / Closing of Office Dealing with Enquiries/Leads Sourcing and Ordering Office Stationary RECEPTION DUTIES - Answering all telephone calls and directing them to the appropriate person Turning on/off answering machine daily Taking messages and emailing them to appropriate person Postage of all documents DEAL WITH ALL NEW CLIENT INFORMATION / ADMINISTRATION - Maintain Client Database Generate New Client Documents Produce Engagement Letters Produce Fees Costing Quotations Bimonthly Client Document Chasing - Bookkeeping, VAT, Yearend, Self-Assessment Paperwork Binding Documents Deadline Emails DOCUMENT FILING - Maintain Filing Systems - Manual / Server / Cloud Scanning Filing COMPANY SECRETARIAL WORK - Incorporation of New Company's Annual Returns Company Information Changes Strike Offs DEBT MANAGEMENT - Credit Control Debt Collections HMRC AND COMPANIES HOUSE COMMUNICATIONS - Set up of PAYE, VAT etc for Clients Request for Client Data MARKETING, ADVERTISING AND PROMOTIONS - CLIENT SOURCING - Monthly Client Mailshots CLIENT NEWSLETTER - Production of a monthly newsletter for clients SOCIAL MEDIA - Maintain Social Media Accounts: Accounts Navigator App Facebook Twitter Instagram GENERAL ADMINISTRATION FOR OFFICE - Other Ad-hoc Duties Prepared by: MS ANDREA RICHARDS - FINANCE DIRECTOR Date: 01 SEPTEMBER 2016 The Company reserves the right to vary or amend the duties and responsibilities of the post holder at any time according to the needs of the Company's business.
