O Temporary Personal Assistant/Diary Manager
Monday to Friday 9-5 (hybrid) 3 days in the office and rest from home
15.18 per hour paid weekly
1 year temporary assignment with a possible extension
KEY TASKS -
The purpose of the role is to provide effective and efficient administrative support to the Team Leader and Team. This is a new team, and your role will be crucial in helping to establish the team, assisting with administrative tasks relating to recruitment and induction, and ensuring the correct administrative procedures for the team are in place. You will need to be well organised and able to take the initiative and work closely with others and have good oral and written communications skills. The role will include and is not restricted to:
- Dedicated Executive/PA support
- o Email management for Director/Deputy Director
- o Diary management for Director/Deputy Director and wider team
- o Drafting correspondence on behalf of Director/Deputy Director
- o Management information (commissioning reports, collating team entries for Weekly Briefing to Perm Sec, Staff in Post, CMS compliance etc)
- o Set up and administer all SLT/team meetings and stand-ups (compile agenda items, progress actions, summarise a redacted version for division) and help with away-days/training events
- o IT support/training for Director/Deputy Director and wider team
- o On-boarding new starters (new starter forms, arranging IT etc)
- o Meeting/Room booking
- o Taking minutes (non-casework)
- o Releasing time on CMS for team members where required
- o Dealing with Omnidox/finance queries
- o Support for corporate events relating to Director/Deputy Director's corporate roles
- o Updating team email distribution lists
- o Bonus award support
- o Book in/escort guests
- o Printing meeting papers
- o Expense claims and travel bookings (non-casework)
- o On team rota for dealing with hard copy post
- o On team rota for New Proceedings Inbox or TSol inbox, as required
- o Support BM colleagues (eg. cover periods of leave)
- o Stationery co-ordinator for team
- o Ad hoc administrative tasks as required
Candidates should please note this is not a legal role. Although candidates would be assisted by having knowledge / experience of working in a legal environment, this is primarily a secretarial support role to the Team leader and wider team members. Although you may be occasionally asked to assist with legal work, this will not be the primary function of the role. Candidates are expected to have excellent organisational skills, to be a good communicator and to work well with others.
