We are currently recruiting a confident, professional Administrative Supervisor to work within a small team to document and control all livestock arrival to site and their associated documentation.

The main purpose of the role will be to speak with suppliers over the phone and face to face, dealing with queries and issues as they arise along with supporting Livestock Manager with all day to day office-based tasks.

Other duties will include co-ordinating invoices and payments to external suppliers and hauliers. Supporting the rest of the livestock team ensuring effective communication and training is in place.

  • Ensure that all Livestock are correctly registered and documented onto the booking in system
  • All Livestock passports are checked against the transit paperwork
  • Completing all product traceability precisely and correctly
  • Continuous contact with customers and ensure regular communication between your department and other required departmental managers
  • Attending to any departmental issues and addressed promptly, documented correctly and resolved efficiently
  • Raise invoices for payments to customers and email remittance
  • Reporting each week on cattle per buyer
  • Co-ordinating Haulage both internal and external
  • Supporting Livestock Manager in collating data and reports as required
  • Monitoring employees and organising workflows based on production plans and service levels
  • Attend team meetings, conduct Return to Work Meetings/ 1-2-1's, performance reviews and holiday scheduling for team
  • Train, Mentor and Develop new starters
  • Training staff on correct policies and procedures ensuring records are up to date
  • Ensuring team are wearing correct PPE and daily audit checks are conducted
  • Adhering to companies hygiene practices eg, 5s and GMP, ensuring any fabrication issues are reported to line manager to minimise downtime and risk to Health and Safety
  • Responsible for ensuring operations carried out in their area are in line with legislation, customer specification and site policy ensuring that product is produced safely and of high quality in line with HACCP principles
  • Reporting on KPIs

Key Attributes, Knowledge & Skills

  • Experience of operating in a similar role is desirable but not essential
  • Agricultural background/knowledge desirable but not essential
  • Excellent communication skills and able to communicate effectively within the department
  • Professional telephone manner
  • Computer literate
  • Can effectively work well within a team environment and under pressure
  • The ability to manage the day to day whilst challenging the norm in a positive and constructive mindset
