Ceremony Coordination Senior Administrative Support

Hampshire Registration Service is an innovative forward thinking organisation, currently delivering in excess of 5,000 ceremonies each year.

Working in the Ceremonies Coordination Team, the day to day work will require you to help take bookings from customers who wish to book statutory and non-statutory ceremonies in register offices and in any of over 150 other licenced venues across Hampshire. Each team member will focus on a geographical area within Hampshire, and you will be asked to support each area.

Booking enquiries can originate either by email or telephone, and there are also a significant number of general enquiries that need answering, also from these sources.

You will need to ensure that the customers' expectations are managed and that a suitable date and time slot is offered that can be managed within agreed staffing levels, by checking against availability schedules.

Weekly tasks include checking to ensure that the legalities for a statutory ceremony have been completed in a timely manner, planning forms have been received and meet the criteria for civil ceremonies and that all monies have been paid. Prior to ceremonies you will help to ensure that all the necessary paperwork has been correctly generated and sent to the relevant office for the officiating staff to collect on the day of the ceremony.

This will involve a high level of coordination, advice giving and entering details into a diary and onto a database. An important part of the role will be to ensure that customers are aware of and carry out the necessary requirements in a timely manner to ensure that a legal marriage/civil partnership is carried out.

You will be committed to delivering a high quality, customer focused, frontline service both on the telephone, by email and in person. You will need good communication skills and absolute attention to detail as befits helping customers planning a significant life event. You will demonstrate an ability to work well as a member of a small team and you must be able to demonstrate an inclusive approach in relation to diversity and equality of opportunity as it relates to Registration Service.

We are looking for a confident, personable individual with high levels of self-motivation and attention to detail. Our customers have differing demands and, some know what they want, others need a lot of guidance. In this varied role, you will develop the ability to work with each coupe to ensure they have their day, their way. No experience of the Wedding industry required as full training will be given.
