Department Electrical Services Department
Location Slough
Reports To Electrical Services Manager
Hours 37.5 hours per week
Salary Circa GBP25k
Main Responsibilities
To ensure that the Electrical Services Department is run in line with company guidelines and delivers its objectives to the internal & external customers.
Main Duties
Responsible for managing the administration of the department.
Provide 1st point of contact for the department.
Monitoring the departments email inbox and dealing with any queries.
Responsible for allocating electrical engineers for call outs.
Scheduling the OOH electrical PPM s
Responsible for managing the approved quoted works schedules and materials.
To provide guidance and support to the field-based engineers enabling the team to carry out PPM and extra works to the highest possible service levels.
Responsible for raising purchase orders for the department.
Main contact for the accounts department for any invoice purchase invoice queries
Manage & administer the departments material tracker.
Ensuring all completed logs & internal completion reports are uploaded to concept & monitor the quality of the reports.
To provide regular updates via the CAFM system (FSI Concept Evolution) for the company not to fail its KPI s.
To ensure that all Electrical AP audits are completed in line with the agreed schedule and company guidelines. Such reports being submitted to the companies Authorised Engineer.
Administer the Electrical Permit to works procedure ensuring permits are issued correctly and in line with the company s safe system of work.
Produce quotations for remedial works from PPM s these to be created within the agreed SLA s.
To ensure that the company is always presented in a good light.
Understand and be aware of the requirements of all relevant health, safety, environmental and quality legislation and ensure that all employees are equally aware of their own roles and responsibilities within the company.
Actively manage and participate in the health and safety processes required under the company policies and procedures on portfolio including, but not limited to, accident investigation, reporting, risk assessments and auditing.
Ensure that all materials and equipment are handled, stored and used with due regard to the relevant health, safety and environmental legislation.
Any other reasonable instruction from the Electrical Services Manager or his line managers.
Co-operating with the company to allow it to fulfil its moral and legal duties and obligations.
Person Specification
This role would suit an individual that can work using their own initiative and have a proactive approach to undertake all tasks required, a conscientious and reliable team player and someone who has excellent interpersonal and communication skills.
Knowledge, Skills and Experience
Knowledge of CAFM system FSI Concept Evolution.
Experience of operating within a technical service team within the facilities management industry or an electrical services contractor.
Experienced user of Microsoft Office software including Word and Excel and working knowledge of databases and reporting.
Understanding of electrical terminology & electrical legislation (BS7671)
Knowledge of how to create and issue RAMS.
Ability to produce accurate and timely reports.
Understanding of planned preventative maintenance.
Experience of reporting and dealing with large amounts of data.
Qualifications
Intermediate/Advanced PC Skills - Word, Excel, Outlook.
GCSE grades A-C in Maths and English.
Personal Qualities/Skills
Experience of working as a lead administrator within a technical services environment.
The ability to work in a fast-paced environment with an exceptional work ethic and individual accountability as a prerequisite.
Strong and effective communication skills
Ability to be able to make decision for themself and follow through with the actions.
Has positive upbeat attitude towards work.
Self-motivated and capable of working without fully documented procedures.
